Summary of Position
The Adult Ministry Administrative Assistant is responsible for systems and processes that support the administrative needs of Adult Ministries. From hospitality/check-in, facilities, communications, and all Adult Ministry special events, the Adult Ministry Admin ensures the Adult Ministry team is supported to execute in their ministry areas successfully.
Primary Responsibilities:
Oversee and maintain all systems and processes involved with Adult Ministry groups, studies, and other Adult Ministry-related events. This includes, but is not limited to, the following:
Manage all Adult Ministry facility requests, groups, and event registrations (including child care registration, if applicable)
Create, maintain and follow up on all Adult Ministry group, study, and event forms
Manage the Adult Ministry process queues (in CCB)
Manage and maintain Adult Ministry volunteer records and background checks
Manage systems that measure and track group/event attendance, volunteer growth and retention, and provide pertinent data to the Adult Ministry team
Follow up and respond to any church member/Adult Ministry volunteer requests, questions, and messages
Project Management
Submit all team projects and event requests through management system
Work directly with the Adult Ministry team to organize and keep track of event tasks and project management
Support logistics relating to ministry-wide special events, including managing all Adult Ministry event facility requests, registrations, and forms, volunteer needs, etc.
Regularly connect with the Adult Ministry team to provide support and address administrative needs
Organize, manage, and order supplies for studies, events, groups, and weekend services
Set up rooms for studies and events, and/or support the delegation of this task to volunteers
Print, resource, and supply special requests, including props, handouts, etc.
Assist the Adult Ministries team with data management by entering and updating attendance for studies, events, and groups
Be present at special events and the launch of studies to assist the Adult Ministries team
Assist with special projects and events as needed (10% or less)
Desired Qualifications/Skills
Highly administrative. Must be able to organize systems and processes from scratch and have the ability to evaluate current systems for continual improvement
Ability to work independently on tasks and projects, once original direction and guidance has been given from supervisor
Strong computer skills, comfortable with technology and able to adapt to new resources, including Google Drive, Microsoft Word, Excel, etc.
Proficiency with Church Community Builder (CCB) system a plus
Written communication abilities for communication with church members and attendees
