Job Description - Advanced Diagnostic Testing Coordinator

SUMMARY:  


A nonexempt position responsible for performing precertification for designated services ordered by MCH and outside referring physicians that are to be performed at MCH. Assist in scheduling all radiology procedures in the practice management system and Radiology Information System through the call center. Coordinate activities in the scheduling process to ensure accuracy and completeness of work and adherence to established Radiology and MCH policies and procedures, including the Code of Conduct.



Primary Responsibilities



  1. Performs precertification requirements for all diagnostic services ordered by MCH physicians and as needed for outside referrals (except drugs).

  2. Performs scheduling of all radiology procedures including outside referrals.

  3. Provides accurate order entry for patient demographics and ordering physicians.

  4. Answers incoming calls through the call center in a timely manner.

  5. Keeps physicians and nurses informed as necessary of potential non-payment issues for scheduled services.

  6. Receives clinical information and medical justification from nurses/physicians for the test(s) ordered.

  7. Reviews scheduled appointments for NICS and Radiology

  8. Determines whether physician orders are within payor guidelines.  Patients receiving studies outside of payor guidelines must be counseled regarding their out-of-pocket expenses, sign a financial responsibility form (waiver), and pay at the time of service.

  9. Documents all communication with patients, insurance carriers, and MCH staff in patient encounter notes and/or tasking notes in Epic.

  10. Consults with Supervisor or Manager for conflict resolution, problem solving, and changes in scheduling and precertification procedures.

  11. Performs other functions as requested by management.

  12. Maintain a flexible work schedule to accommodate late add-on precertifications.

  13. Adhere to the Radiology and Clinic Policy and Procedures and the Code of Conduct.

  14. Perform other related duties incidental to the work described herein.



Specific Areas of Responsibilities



            Hospitality



  1. Demonstrates professional telephone etiquette.

  2. Greets all customers in a positive, friendly, courteous manner (internal and external).

  3. Effectively communicates with persons under strained or frustrating conditions.



Response to Change



  1. Accepts and performs new (or changes to existing) programs, procedures, work requirements, goals and deadlines.

  2. Promotes clinic-wide teamwork.

  3. Takes advantages of opportunities to learn and understand changes and offers input to improve Radiology processes and maximize efficiencies.



            Scheduling        



  1. Accurately schedules radiology procedures in Fuji RIS.

  2. Accurately reschedules or cancels procedures.

  3. Verifies accuracy and reconciles scheduled appointments in Fuji RIS.

  4. Acts as a liaison and maintains an open line of communication between the physician’s office personal, Radiologists, co-workers and management.

  5. Communicates potential interruptions of radiology services to supervisor or manager.



Pre-Certification Process



  1. Monitors receipt of Radiology and NICS schedules to ensure timely pre-certification of procedures.

  2. Ensures all necessary pre-certs are obtained for the following day appointments in Radiology and NICS.


 


Call Center Duties



  1. Continuously logged into Radiology call center.

  2. Answers the phone lines appropriately including providing accurate prep instructions.

  3. Maintains expected Radiology call center productivity.


 


Education, Experience, and Knowledge



  • Some college preferred.

  • Minimum three-year experience working in medical office with precertification experience.

  • Medical terminology and knowledge of payer guidelines and websites.


 


Required Skills and Abilities



  • Excellent organizational skills.

  • Excellent customer service and satisfaction skills.

  • Effective coordination of multiple tasks.

  • Ability to use analytical skills for troubleshooting and problem solving.

  • Excellent communication skills, including written, verbal, listening, and telephone etiquette.

  • Excellent computer skills – PC, MS office including data entry in RIS scheduling


 


Physical Requirements



  • Must be able to verbally communicate with patients, coworkers, unit personnel and physicians.

  • Must have legible penmanship.

  • Must be able operate a computer including use of keyboard.

  • Must be able to view software applications on computers.

  • Must be able to reach up to 6 feet and bend to floor level to pull or file film jackets.
