Job Description

About the Role

The Advancement Coordinator plays a key role on The Huntington’s Advancement team, which raises up to $50 million annually to support operations, programs, capital projects, and endowment priorities. Reporting to the Assistant Vice President for Advancement, this position provides high-level administrative and coordination support essential to cultivating, soliciting, and stewarding individual major gift donors.

This role is ideal for a detail-oriented, highly organized professional who thrives in a fast-paced environment, exercises sound judgment and is motivated to grow and advance in their career. This position offers exposure to major gift fundraising, donor stewardship strategy, and institutional advancement operations. Over time, the Advancement Coordinator may develop advanced skills in donor communications, reporting, project coordination, and cross-departmental collaboration. The Advancement Coordinator works closely with colleagues and donors across The Huntington, including the Library, Art Museum, and Botanical Gardens, and collaborates regularly with the Society of Fellows, Strategic Initiatives, Donor Relations and Planned Giving, the President’s Office, and the Board of Governors.

Essential Duties

  • Drafts, edits, and prepares personalized gift acknowledgments on behalf of the Vice President and Assistant Vice President for Advancement, ensuring accuracy and timely delivery during both routine and high-volume periods.

  • Creates, maintains, and updates accurate guest lists and complex invitations using digital platforms and donor databases, including Raiser’s Edge (RE) and Raiser’s Edge NXT.

  • Coordinates logistical and administrative details for on-site donor events in partnership with the Assistant Vice President for Advancement and Associate Director of Major Gifts.

  • Manages special projects assigned by the Vice President or Assistant Vice President for Advancement, exercising independent judgment and initiative.

  • Assists in preparing donor narratives and lists for the Advancement section of The Huntington’s annual report.

  • Provides administrative support for Momentum, The Huntington’s donor newsletter.

  • Partners with the Associate Director of Major Gifts to process and track memorial, tribute, and in-kind gifts, ensuring appropriate recognition and stewardship.

  • Provides administrative support to the Assistant Vice President for Advancement and Associate Director of Major Gifts, including correspondence, calendar management, meeting coordination, donor visit scheduling, phone coverage, expense reporting, and maintenance of major gifts records.

  • Supports administrative and on-site activities related to the Library Collectors’ Council, Art Collectors’ Council, Society of Fellows, Planned Giving.

  • Supports multiple President’s Office events throughout the year and coordinates closely with President’s Office.

  • Occasionally takes minutes for meetings.

  • Drive golf carts on campus to support donor visits and to support departmental events.

  • Assists with donor visits and cultivation activities as needed.

Candidate Qualifications and Skills

Education

  • Bachelor’s degree or equivalent experience strongly preferred.

Professional Experience

  • Minimum of three years of nonprofit or relevant professional experience preferred. Internship or volunteer experience may be considered.

Knowledge, Skills, and Abilities

  • Ability to collaborate effectively with supervisors to prioritize daily responsibilities.

  • Demonstrated initiative and the ability to anticipate needs.

  • Excellent organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.

  • Strong attention to detail and commitment to accuracy.

  • Excellent written and verbal communication skills, including proofreading and editing.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfort navigating online platforms and databases.

  • Experience with Raiser’s Edge and Raiser’s Edge NXT highly preferred.

  • High level of integrity and discretion, with demonstrated experience handling confidential information.

  • Ability to work collaboratively in a team-oriented environment where success is shared and celebrated.

Preferred Qualifications

  • Experience supporting donor relations, major gifts, or advancement programs.

  • Familiarity with event coordination or donor-facing activities in a cultural, educational, or nonprofit institution.

  • Valid CA drivers license.

Working Conditions

  • Primary work environment is an office setting with regular computer and phone use.

  • Position requires extended periods of sitting and frequent typing.

  • Occasional evening and weekend work is required in support of donor events and institutional programs.

  • Ability to lift and carry materials up to approximately 20 pounds as needed for events.

  • Limited local travel between Huntington venues may be required.
