Mid Cities Psychiatry is growing fast, and we’re looking for a dynamic Ancillary Services Manager to help us expand our Ketamine, Esketamine (Spravato), and TMS programs. You’ll be the driving force behind getting patients with major depression the care they urgently need — managing referrals, benefits verifications, prior authorizations, scheduling, and treatment quality.


You’ll lead a dedicated team, keep communication tight between providers, patients, and staff, track medication orders and pharmacy fills, and even step in as a certified treater or patient navigator when needed. Right now, we’re seeing 40 Esketamine patients per week and 20 TMS patients daily — with your leadership, we’ll double that by the end of the year.

Job Description:
Applicants must be willing to work full-time, Monday thru Friday, 8:00 am to 5:00 pm.

Benefits:

Key Responsibilities
Referral & Authorization Management:

  • Oversee the full patient referral pipeline — from intake to benefits verification, prior authorization submission, and scheduling.

  • Ensure rapid turnaround times, minimizing delays for patients needing urgent depression treatment.

  • Maintain clear, timely communication with referral sources, providers, and patients.

Scheduling & Coordination:

  • Manage scheduling of all initial evaluations and follow-up appointments for Ketamine, Esketamine, and TMS services.

  • Ensure optimal patient flow and maximize treatment capacity as volume scales (from 40 to 100 Esketamine patients/week and 20 to 60 TMS patients/day).

Medication & Supplier Coordination:

  • Track medication ordering through providers and suppliers (Spravato and Ketamine).

  • Ensure timely pharmacy fills and resolve medication-related issues proactively.

  • Coordinate continuation prior authorizations (PAs) to avoid disruptions in patient care.

Treatment Support & Quality Assurance:

  • Obtain certification to administer TMS and Esketamine treatments (training provided).

  • Serve as a backup treater when needed to ensure uninterrupted patient care.

  • Support patients as a backup Patient Navigator/Advocate when needed, consulting patients about ancillary services and treatment expectations.

  • Audit selected treatments and patient interactions to ensure high-quality care delivery and adherence to protocols.

Team Leadership:

  • Lead and hold the Ancillary Services team accountable to performance goals.

  • Drive communication clarity and ensure internal and external stakeholders (providers, team members, patients) are consistently informed.

  • Identify and implement process improvements to enhance service delivery and patient outcomes.


Qualifications:

  • Bachelor’s degree preferred (Healthcare Administration, Psychology, Nursing, or related field).

  • Master’s degree in Healthcare Administration (preferred)

  • Familiarity with prior authorizations, benefits verifications, and referral management processes.

  • Exceptional organizational, multitasking, and problem-solving skills.

  • Strong leadership skills with ability to motivate and hold team members accountable.

  • Comfortable learning and performing clinical procedures (TMS, Esketamine) with certification training provided.

  • Excellent verbal and written communication skills.

  • Compassionate, patient-first mindset.

  • Ability to thrive in a fast-paced, high-volume outpatient environment.






Compensation: $40,000.00 - $45,000.00 per year
