Salary: $51,035.56 annually

General Description and Classification Standards 

Assigned to the Atlanta Police Department Code Enforcement Unit. Manages documents while also ensuring their accuracy, quality and integrity. The specialist helps the City of Atlanta adhere to policies and practices regarding the creation, maintenance, and the disposal of records in accordance to State of Georgia Laws and Regulations.

Supervision Received 

Direction received is very general and focuses on end results and is typically collaborative in nature.



Responsibilities

Essential Duties and Responsibilities These are typical responsibilities for this position and should not be construed as exclusive or all inclusive.

  • Stores, manages and tracks City of Atlanta documents. 
  • Scans images, organizes and maintains documents, adhering to the City of Atlanta's document lifecycle procedures. 
  • Reviews and/or approves various reports, forms and requests, files and records including citations, offence reports, complaint forms, training, payroll, and personnel documents, etc. 
  • Archives inactive records in accordance with the records retention schedule. 
  • Ensures documents submitted to Document Control meet the processing guidelines. 
  • Places documents into the Enterprise Project Management System (EPMS) and PMWeb Document Management file. 
  • Ensures all records scanned are imaged adhering to the process of routing project related correspondence/documents through PMWeb project management software for final approved documentation to be submitted. 
  • Reviews and/or approves various reports, forms and requests, files and records including citations, offence reports, complaint forms, training, payroll, and personnel documents, etc. 
  • Controls the retrieval of documents. 
  • Receives and processes Requests for Information, or RFIs, from employees, the public, and other stakeholders and maintains the requests via electronic tracking logs. 
  • Periodically trains employees on records management procedures and policies, which include documentation, retention, retrieval, destruction and disaster recovery. 
  • Assists with file migrations, software testing, software updates, and compliance audits. 
  • Performs administrative tasks as needed. 
  • Selects processes that will facilitate increased productivity and job performance. 
  • Establishes work methods, timetables, performance standards, etc. 
  • May perform other duties as assigned.

Qualifications

  • Knowledge of key concepts, processes, and tools involved in the management of an enterprise-wide document/records management system. 
  • Knowledge of document/records control software. 
  • Strong interpersonal, communication, customer service and strong follow-up skills. 
  • Skills in the use of Microsoft Office products. 
  • Ability to use interpersonal and organizational communication skills, both written and verbal. 
  • Ability to prioritize, manage time well, multitask and troubleshoot. 
  • Ability to work collaboratively with internal and external business partners. 
  • Ability to use a scanner. 
  • Ability to work independently and self-motivate. 
  • Ability to work in a fast-paced and deadline driven environment. 
  • Ability to stay focused and carry out tasks in a timely and accurate manner.

 

Minimum Qualifications 

Education and Experience

Technical certificate and one (1) year of records management experience. 

Licensures and Certifications 

None. 

Preferred Requirements 

Bachelor's degree, plus 3 years records management experience. 

The ideal professional is enthusiastic, highly organized, extremely detailed oriented, self-driven, proficient with document control and record management processes and systems, as well as strong soft skills - clear communication skills-written and oral, great listener, and congenial. 

Work Environment 

Required physical, lifting, and sensory capabilities are requirements to perform the job successfully. Typical environmental conditions associated with job. 

Lifting Requirements: Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.

Work Schedule: This position follows the City’s hybrid work schedule policy as assigned by the Department of Human Resources Commissioner and requires in-person work at City worksites/facilities at least four (4) days per week, with the option to work remotely one (1) day per week, based on eligibility, departmental needs, and supervisor approval. The hybrid work schedule is subject to change at any time to five (5) days in-person work.
