AR Specialist

SUMMARY OF ROLE

Howell’s Heating & Air Commercial Service Accounts Receivable Specialist is responsible for managing billing and accounts receivable activities for commercial service customers. This position ensures accurate and timely invoicing, monitors outstanding balances, and works closely with internal teams and customers to resolve billing questions and maintain healthy account standing. The role plays a key part in supporting the financial operations of the Commercial Service Department by ensuring invoices are processed efficiently and payments are collected in a timely manner.

ESSENTIAL DUTIES

Include but are not limited to:

• Process and submit accurate invoices for commercial service work, including maintenance, repairs, and service agreements


• Monitor accounts receivable aging reports and follow up with customers on outstanding balances


• Communicate with commercial customers regarding billing inquiries, payment status, and account issues


• Work closely with the Commercial Service Manager, dispatch, and technicians to resolve billing discrepancies


• Maintain organized billing records and documentation for service calls and customer accounts


• Apply customer payments and assist with account reconciliation as needed


• Assist in preparing reports related to billing and accounts receivable


• Support the Commercial Service Department with additional administrative or accounting tasks as needed

 QUALIFICATIONS 

• Previous experience in accounts receivable, billing, or accounting support preferred


• Experience in a service-based industry (HVAC, construction, plumbing, or similar) is a plus


• Strong attention to detail and accuracy in financial documentation


• Excellent organizational and time-management skills


• Proficiency in Microsoft Office, particularly Excel


• Experience with accounting or service management software preferred

PHYSICAL REQUIREMENTS & WORKING CONDITIONS

• Ability to sit for extended periods while working on a computer


• Occasional lifting of office materials up to 15 lbs
