Island Institute is searching for a Product Coordinator to join our Archipelago team. This full-time, benefit-eligible position is temporary, through December 31, 2025. The Product Coordinator is primarily responsible for the handling of store inventory, including oversight of the store’s Point of Sale (POS) system for in-flows and out-flows of inventory. The position requires a strong skill set in data entry and attention to detail.
Qualifications:
• High school diploma or equivalent required; undergraduate degree or relatable experience preferred.
• A high level of proficiency with computer-based systems; familiarity with inventory management and Excel a plus.
• Experience in a retail, customer service or inventory management environment.
• Excellent communication skills and high level of customer service orientation.
• Enthusiastic energy level, patience, initiative, honesty, and the ability to multi- task when tasks are demanding.
• Must work well in team environment and with other departments.
• Must have keen attention to detail, accuracy in tasks, and ability to complete repetitive tasks thoroughly and accurately.
• Must be available to work on some weekends, evenings and holidays, especially during busy periods including summer months and the holiday season.
• Photography experience a plus, but not required.
Essential Functions:
• Receiving: Prepare products for the sales floor by receiving into inventory, pricing and gridding items, and printing tags; facilitate any vendor paperwork to the Finance team; prepare boxes for recycling; write product descriptions and put items online for the website, and create gallery wall labels for new fine art pieces.
• Inventory Adjustments: Process vendor check-outs, return to vendor adjustments, or other inventory adjustments as needed, and prepare check requests for consignment vendors as needed.
• Annual Inventory Count: Prepare products for annual inventory count, manage the different phases and aspects of the physical count, participate in the count, reconciliation of count and all follow-ups.
• Sales Floor: Participate in coverage on the sales floor, fill in for lunches, on weekends, or as determined by the Store Manager or Director. The Product Coordinator should be able to complete all duties associated with Customer Service Associates, including being able to operate the register.
• Product Photography for website: Make or secure high-quality collateral for website including images and description for products.
• Web Orders: Process and mail web orders as needed daily or at least two times per week; close the Lightspeed Point of Sale (POS) web register and provide reporting to the Finance team.
• Ordering: Reorder based upon requests and/or regular reports; responsible for ordering books for the store and maintaining the book section displays in the store.
• Island Institute Wholesale Order Fulfillment: Fulfill wholesale orders for Island Institute publications, most notably the Island Journal magazine, in collaboration with the Media Team.
• Reporting: Run and process monthly consignment report for the Finance team, as well as other monthly reports as needed.
• Events: Provide floor coverage for a minimum of two Art Walks/First Friday evenings during the season those evenings occur.
• Other duties as assigned

The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. • Physical demands: While performing the duties, of this job, the employee is required to sit, enter data using computer keyboard and mouse, stand, walk, bend over occasionally and move about the office space as well as between building floors. There is no requirement to lift and/or move weights of more than 30 pounds. Since the position also involves coverage on the retail floor, must be able to remain on one’s feet for extended periods.
• Work environment: This position requires a daily presence at the Island Institute headquarters building in Rockland. The noise level in the work environment is usually minimal.
