Job Description - Assets and Facilities Assistant

Position Overview: Assets and Facilities Coordinator


We are seeking a detail-oriented and organized Assets and Facilities Coordinator to manage the flow of materials and products in our facility. This position is responsible for overseeing shipping and receiving operations, maintaining inventory accuracy, and ensuring timely and efficient movement of goods. The ideal candidate will have experience in logistics, inventory control, and warehouse operations.


 


Key Responsibilities:


Warehouse Operations:


o   Maintain a clean, organized, and safe warehouse environment.


o   Operate forklifts, pallet jacks, and other warehouse equipment as needed.


o   Follow safety protocols and company policies to minimize accidents and ensure compliance.


o   Assist in organizing and optimizing warehouse layout for efficiency.


Shipping & Receiving:


o   Receive, inspect, and verify incoming shipments against purchase orders and invoices.


o   Ensure all received items are correctly labeled, logged, and stored in designated locations.


o   Prepare, package, and coordinate outgoing shipments, ensuring accurate documentation and timely dispatch.


o   Communicate with vendors, carriers, and internal teams regarding shipments, delays, or discrepancies.


o   Maintain organized and efficient shipping and receiving areas.


Inventory Management:


o   Track and manage inventory levels to ensure accuracy and prevent shortages or overstocking.


o   Perform regular inventory audits, cycle counts, and reconciliation to maintain data integrity.


o   Input and update inventory records in the system, including part numbers, descriptions, and quantities.


o   Identify and report discrepancies, damaged goods, or loss of inventory.


o   Coordinate with procurement and production teams to manage stock levels based on demand.



  • Tool Management:

    • Coordinate an organized inventory of tools and equipment.

    • Assist in tracking usage, perform regular audits, and coordinate repairs or replacements as needed.

    • Enter new tools in all systems

    • Implement a check-out/check-in system to ensure accountability and availability.

    • Coordinate and line up calibration of tool/equipment



  • Fleet Management:

    • Coordinate the maintenance, scheduling, and operation of the company fleet.

    • Assist in Entering and tracking fleet in different programs

    • Ensure vehicles are compliant with safety regulations and company policies.

    • Coordinate repairs and inspections with service providers.




Qualifications:



  • Education:

    • High school diploma or equivalent; associate’s degree in business administration, facilities management, or a related field preferred.



  • Experience:

    • Previous experience in facilities management, asset management, or a related role is desirable.

    • Familiarity with inventory management systems and tools.



  • Skills:

    • Strong organizational and time management skills.

    • Excellent communication skills, both written and verbal.

    • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).

    • Ability to work independently and collaboratively in a team environment.

    • Ability to operate machinery




Additional Information:



  • This position may involve both office and on-site work in facilities.

  • Some travel may be required


Physical Requirements:



  • Must be able to sit, stand, kneel, stoop, walk, and sit for extended periods of time  

  • Must be physically capable of lifting and carrying up to 25 lbs.
