Our Hilltop Manor location has an outstanding opening for an Assistant Administrator.
The Assistant Administrator is responsible for assisting in the continuous operation of the 24-hour facility in compliance with applicable government regulations, contracts, company policies, and the established policies and procedures of the facility in cooperation with the site’s residential Administrator and Director of Licensed Residential. This position is responsible for the supervision of staff and provision of services to residents of the facility and will work with an assigned caseload as needed or assigned.
ESSENTIAL JOB DUTIES
Be able to work non-traditional schedule including 24-hour back-up as required by the Washington Administrative Code (WAC) and agency policy
Provide oversight, training, supervision, and ongoing reviews for all assigned staff
Ensure medications are supplied, administered, monitored, and documented appropriately for all residents through trained staff ensuring the seven rights of medication use are followed: right person, right medication, right time, right dose, right route, right reason (including refusal), and right documentation according to agency provided medication training
Complete reporting and adjust service delivery and measures, as needed to meet current contractual requirements with other entities, such as King County Behavioral Health and Recovery Division (BHRD), Centers for Medicare and Medicaid Services (CMS), and others as assigned
Provide regular supervision, direction, and documentation for on-site staff, including individual meetings, group staff meetings, chart reviews, training requirements, performance issues, etc.
Ensure job duties are fulfilled by staff and cover obligations and responsibilities, when needed, including filling in for Administrator in times of absence or vacancy
Participate in Residential Administrator After Hours On-Call Rotation, providing after hours support to all licensed residential sites and coordinating with other providers, such as After Hours Clinician, Crisis Connections, hospital, jail, etc.
Attend to financial responsibilities and practice good financial stewardship of agency and contract resources, including ensuring client financial eligibility for level of care, maintaining facility budget expectations (through staffing patterns, occupancy, expenses, supply orders at the facility, etc.), and ensuring proper administration and maintenance of resident trust accounts per agency procedure
Monitor spending of Petty Cash and other agency money to ensure accountability and appropriate use
Meet identified key performance indicators and metrics for the position as identified for the program, division, and agency
Assist in maintaining bed census across all enrollment types
Coordinate with Human Resources to ensure complete personnel files are maintained per agency, Washington Administrative Code (WAC), and contract requirements
Maintain productive working relationships with internal department leads to always ensure efficient and seamless coordination of client care and business needs
Provide immediate crisis intervention and resolution as needed
Participate in Residential Administrator After Hours On-Call Rotation, providing after hours support to all licensed residential sites and coordinating with other providers, such as After Hours Clinician, Crisis Connections, hospital, jail, etc.
Always maintain resident and staff confidentiality
The Assistant Administrator works with the Residential Administrator to ensure high standards of care are provided by staff within the licensed residential setting, including but not limited to:
Maintaining and adhering to licensing responsibilities, such as Washington Department of Social and Health Services (DSHS) and Department of Health (DOH)
Ensuring appropriate level of skills training and assistance is provided to residents in Activities of Daily Living (ADLs) and Instrumental Activities of Daily Living (IADLs) per their service plan, such as assistance in hygiene needs, feeding, personal hygiene, cleaning, finances, transportation, etc. Includes preparing resident meals when cook is not on duty and per menu
Emphasizing skills and techniques promoted in the State of Washington mandated training, Fundamentals of Caregiving
Coordinating care, such as scheduling, attending, and/or arranging transportation for appointments and other case management needs
Maintaining, and documenting in, resident charts, activity logs, meal charts, etc. following agency, county, state, and federal guidelines.
Providing input as part of resident’s care team on service plan and progress, and collaborating with other providers such as primary care provider, case manager, etc.
Facilitating regular group and individual activities, encounters, and specialized resident events, such as outings and holiday gatherings
Assisting in admission and discharge planning per supervisor direction
Monitoring and managing facility milieu for visitors, television time, and quiet times
Coordinating fire drills, resident orientation, chores, and resident room maintenance during resident move-in and move-out
Apply for Agency Affiliated Counselor credential with Washington Department of Health within 30 days of hire, if not otherwise licensed, and obtain and maintain registration and/or licensure
Successfully pass criminal background check before hire date
Obtain Home Care Aide certification within 200 days of hire
Complete 12 hours of continuing education annually
Complete Tuberculosis (TB) test within first 2 weeks of hire with acceptable results
Hold a valid license for 1 year with clean driving record to use agency vehicles
Have legible handwriting and ability to do simple mathematics
Able to navigate and comprehend charts in electronic medical record
Able to work independently and within a team
Able to communicate information and ideas so others will understand. Able to exchange accurate information in these situations.

PREFERRED QUALIFICATIONS
Bachelor’s degree in related field
Previous supervisory experience
