Job Description - Assistant Athletic Director


Castilleja is a dynamic, diverse, and intentional educational community for students in grades

We are looking for an all-star to join our team here at Casti! The Assistant Athletic Director
supports the day-to-day operations of Castilleja Athletics, focusing primarily on Upper School
(grades 9–12) with occasional Middle School support. This role works closely with the Director
of Athletics to ensure seamless scheduling, transportation, facility use, and game-day
execution. The ideal candidate will be student-athlete focused and aligned with the School’s
mission and values.
Key Responsibilities:

Collaboration & Communication
● Serve as a key liaison between student-athletes, coaches, families, faculty, staff, and external partners.
● Represent athletics at weekly calendar and department meetings, occasionally at the league and section level.
● Partner with school departments to ensure facilities, equipment, and services are ready for events.
● Communicate clearly and professionally to keep all constituencies informed about schedules, events, and logistics.
● Build positive relationships that support the success of the athletics program.

Scheduling & Rosters

● Maintain accurate team rosters, schedules, and coaching information on the athletics website.
● Manage practice and competition calendars; communicate changes promptly to teams, faculty, and families.
● Track and post scores; ensure league website accuracy.
● Confirm contests, facilities and officials for all athletic events Coach Support
● Providing consistent communication and guidance to all coaching staff
● Assisting with scheduling, logistics, and equipment needs for all coaches
● Supporting coaches in fostering a positive, inclusive, and competitive team culture
● Helping onboard new coaches and ensuring compliance with school policies
● Serving as a liaison between coaches and school administration Transportation & Logistics
● Coordinate buses and vans for practices and games, working with internal departments and external vendors.
● Post early dismissal times and notify faculty/staff.
● Occasionally drive vans or accompany teams to events.

Uniforms & Equipment
● Oversee uniform ordering, distribution, inventory, and replacement.
● Help clean, organize, and inventory sports equipment; coordinate repairs or replacements as needed.

Game Day Operations
● Attend the majority of home contests for HS teams and occasional LS/MS home contests across all seasons.
● Supervise the preparation of facilities for all home contests. Coordinate with coaches to ensure a smooth set up, greeting of away schools, and other relevant details.
● Manage and oversee the gym staff for all events (scorekeepers, gym managers, student volunteers)
● Plan and organize the Game Operations Staff for events, including organizing and supervising the gates, crowd control.
● Help plan & execute special events: Sports Awards Nights, Spirit Games, Playoff Games, etc.
● Coordinate officials for home contests and ensure timely payment.

Event Support
● Help plan and execute senior games, signing days, Celebration of Sports banquet, and Class Day awards.
● Order, prepare, and track awards and recognition items.

Minimum Requirements:
● Bachelor’s degree and a minimum of five years of sports administration experience at the middle school, high school, college and/or elite club level.
● Minimum of three years of coaching at the middle, high school or college level.
● Available to be present during school hours, along with being at evening and weekend events
● Demonstrated exceptional experience managing large groups of coaches and staff.
● Working knowledge/ experience of National Federation High School (NFHS) rules and regulations of the sport and a knowledge of adolescent psychology as it relates to sports participation is preferred.
● Possession of valid, unexpired CPR, and First Aid certifications (or willingness to obtain).
● NFHS coach certification (or willingness to obtain).
● Ability to lift at least 30 lbs, work in a physically demanding environment.
