Job Description - Assistant Controller

Job Summary


Supports the Controller in managing the University’s accounting operations, financial reporting, and compliance. Oversees day-to-day accounting activities, ensures accuracy of financial data, and serves as a key resource for resolving accounting issues. 



Essential Duties and Responsibilities


Essential Duties and Responsibilities include the following. Other duties may be assigned.
Position is expected to develop increasing responsibility in accounting review, analysis, and oversight functions over time.



  1. Prepare and/or review journal entries, including corrections and adjustments, as needed based on volume and staffing

  2. Record and monitor recurring expenses, including utilities and copier charges

  3. Manage federal drawdowns (Pell, SEOG, Direct Loans, FWS), reconcile with Financial Aid, and ensure funds are transferred to the appropriate bank accounts

  4. Assist with annual external audit preparation, including gathering documentation and responding to requests

  5. Prepare and/or review subsidiary ledger reconciliations to ensure alignment with the general ledger

  6. Review and approve journal entries, reconciliations, and key accounting transactions as assigned

  7. Review asset and liability accounts for accuracy and investigate discrepancies

  8. Prepare and file monthly sales tax reports

  9. Process ACH and wire transactions and monitor cash balances to ensure sufficient funding for operations

  10. Prepare and/or review the faculty accrual entry and related updates based on HR reporting

  11. Serve as a resource to faculty and staff regarding account activity, transactions, and accounting processes

  12. Troubleshoot accounting issues across accounts payable, payroll, student accounts, and general ledger functions when needed

  13. Assist with maintaining and documenting accounting policies, procedures, and internal controls

  14. Support accurate financial reporting in coordination with the Controller

  15. Perform other duties as assigned by the Controller

Qualifications


To perform this job successfully, an individual must be able to perform each of the Essential Duties listed above satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.   1. Education and/or Experience – Associates degree in Accounting, Finance, or related field required or in progress, with demonstrated ability to learn accounting concepts and processes; CPA track or intent preferred

  2. Language Skills - Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals in English; ability to write routine reports and correspondence; ability to speak effectively before groups of students, employees of the University and the public

  3. Mathematical Skills - Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent and to draw and interpret bar graphs

  4. Reasoning Ability - Ability to apply common-sense understanding to carry out instructions furnished in written, oral, or diagram form in English; ability to deal with problems involving several concrete variables in standardized situations

  5. Computer Skills - To perform this job successfully, an individual should have an excellent working knowledge of Web Browsers; Microsoft Excel, Word and Microsoft Outlook.  The employee must become proficient with the University's accounting software within 180 days of employment

  6. Other Requirements – Must be able to occasionally work overtime as requested by the Controller

While performing the duties of this job, the employee is occasionally exposed to risk of electrical shock. The employee is occasionally exposed to wet and/or humid conditions. The employee is occasionally exposed to fumes or airborne particles and toxic or caustic chemicals used to clean and/or renovate buildings and maintain the grounds of the University.  The noise level in the work environment is usually moderate
