Summary and Scope of Position: 




The Assistant Director of HR (ADHR) is responsible for the day-to-day operations of the Human Resources department.  The ADHR will have the primary responsibility of assisting the Director of Human Resource in creating and implementing departmental plans, which involves identifying needs and establishing plans of action. You will be an empowered leader on the HR team and across campus, balancing operational excellence with strategic initiatives. No two days will be the same! 




Specific Responsibilities: 




Supervise HR staff of 2: HR Administrative Coordinator and HR Generalist



Recruitment & Onboarding: 





  • Oversee recruitment and onboarding of all new employees, including posting jobs, supporting hiring managers, extending offers, performing background checks, coordinating orientation. 





  • In coordination with the Director, manages salary administration and organizational hierarchy of all employees including execution of all salary, title, and manager changes. 




Benefits





  • Provide leadership and oversight of the administration of all employee benefits programs such as medical, dental, vision, life, short-term and long-term disability, Emeriti, 403b retirement, HRA, HSA & FSA, COBRA, tuition assistance, and other related plans. 





  • Alongside the Director, plan and direct the administration of the annual open enrollment, qualifying life events, leave programs, and worker’s compensation. 





  • Provide direct oversight of prompt payment and reconciliation of related benefits bills, including electronic transmissions.  Manage reconciliation of College accounts associated with all benefits on a monthly basis to ensure proper accounting of all payroll deductions.



Employee Relations & Policies 





  • In partnership with the Director, review all Ursinus HR policies on an annual basis and ensure that they are understood and enforced across campus on a consistent basis. 





  • Provide counsel and advice to all employees on matters associated with their employment. Coordinate involvement in employee relations with Director and assist, as needed, with action plans, warnings, performance improvement plans, and terminations. 





  • Meet with employees to actively listen to their concerns about their role, department, or professional relationships on campus, ensuring that employees feel heard, remaining both objective and focused on the bigger picture. 





  • Document thoroughly all employee concerns and subsequent meetings related to the initial inquiry, escalating as needed to the Director and department leadership. 





  • Conduct thorough investigations into employee misconduct or grievances and advise on appropriate disciplinary procedures. 




  • Provide training to managers and employees to ensure positive employee relations and a respectful work environment that embodies shared values. 




Performance Management & Offboarding 





  • Partner with managers to coordinate, document, and communicate ad hoc interventions and coaching, including verbal warnings, written warnings, performance improvement plans, and other disciplinary measures up to and including discharge. 





  • Support the annual performance evaluation process in accordance with the College schedule. 





  • Conduct exit interviews for voluntary resignations and occasionally assist with involuntary terminations. 




Other Responsibilities 





  • Provide excellent customer service support to employees in a timely, professional manner relating to benefit inquiries and claims concerns via TDX tickets, email, and phone. 





  • Manage employment and benefits data through databases, spreadsheets and reports and assist with updates to written policies as they relate to employment and benefits.




  • Assist with employment and benefits data through databases, spreadsheets, and reports for Annual Audits, Salary Survey data, Special Projects, and Monthly/Quarterly reports for HR and other departments including the Finance Office & Institutional Research.  





  • Review segments of payroll informed by other tasks (such as verifying new hires and terminations, confirming salary/benefits changes, or tracking employees on leave).  





  • Oversee departmental webpage; work with Administrative Coordinator to update information on HR webpage, and subpages including the new employee landing page. 





  • Serve as primary liaison for HR department on various committees and working groups, including facilitating the Ursinus Safety Committee (PA-Certified) 



Qualifications: 





  • Baccalaureate degree required in a related field; master’s degree preferred 





  • 2-5 years HR Generalist experience or education in HR management is required 





  • Demonstrated knowledge of benefits management and plan designs 





  • Strong skills and experience with Microsoft Office, particularly spreadsheets, word processing and Outlook is essential 





  • Demonstrated leadership and supervisory skills required 





  • Excellent communication and organizational skills required 





  • Full understanding of applicable HR statutes and regulations such as ADA, COBRA, FMLA, FLSA, HIPAA, OSHA and Title VII of the Civil Rights Act of 1964 required 





  • Prior experience in higher education is a plus
