Job Description - Assistant Director-Arts Program

The Arts Program Assistant Director is responsible for all aspects of ensuring quality and oversight of the Art Site Based Group, Site Based Supplemental and Art without Walls programs and services provided to the participants. The responsibilities include, but are not limited to, the implementation and general supervision of procedures specific to systems and staffing necessary to the program. The AD of the Art Program will also assume primary responsibility for program specific training for the Curator, Gallery Managers, Art Instructors, and also in the future, the Art Program Manager, as well as providing collaborative oversight for the training of Art Program Clinical Supervisors and QIDPs. 

The AD will also be responsible for coordination of the Arts Programs certified art classroom and Art without Walls sites. These responsibilities include, but are not limited to, general supervision of financial and facility responsibilities for the certified classrooms and gallery as necessary. The AD will be expected to assist program participants to achieve their maximum growth through art-based activities and serve as a Qualified Intellectual Disabilities Professional or Art Instructor.


Requirements

Supervise and support the program management and staff: 

  • Provide oversight of services delivered. 
  • Oversee program scheduling and expansion. 
  • Conduct timely staff evaluations and provide staff appropriate feedback. 
  • Conduct random site visits. 
  • Approve staff hours and time off requests, and ensure appropriate coverage. 
  • Approve mileage / reimbursement requests in Paylocity. 
  • Screen and interview potential program staff. 
  • Facilitate monthly program meetings. 
  • In conjunction with the Day Services Administrative Supervisor, maintain communication with participants, their family’s and guardians, as needed: 
  • Contact Director and Deputy Director of Day Services regarding all sensitive participant and program issues in a timely manner.

Intake Procedure, in collaboration with the Intake Supervisor and Intake Specialists: 

  • Offer tours and speak at informational events for interested participants and care providers. 
  • Review all intake packets and paperwork relating to enrollment procedure. 
  • Read intake documents to help support final approval of eligible candidates. 
  • In conjunction with QIDPs, maintain contact with families and Care Managers. 
  • In conjunction with QIDPs and Program Clinical Supervisors, set up trial visits. 

 Web Development: 

  • Collaborate with the Social Media Manager to maintain and expand the Living Resources Arts Program website to reflect current agency/program information. 

Facility Oversight: 

  • Be present and available at each site weekly, if possible. Bi-weekly at minimum. 
  • Sign off on all work orders and reimbursement requests. 
  • Review each facility monthly and report any issues. 
  • Provide oversight for all Fire Safety regulations. 
  • Work with Corporate Compliance to update and maintain Fire Evacuation Plans, Emergency Evacuation Plans, and Site POPs for certified sites to remain in compliance with state audits. 
  • Maintain program inventory of supplies and order new supplies when necessary. 
  • Sign off on Purchase Requests relating to the program. 

In conjunction with the Curator: 

  • The coordination, development, and presentation of Art shows. 
  • Rotation and displays at all agency art galleries. 
  • Assist Associate Executive Director of Communications in development and or renewal of grant funding. 
  • Provides ongoing presentations for government agencies, school districts, transition fairs, etc. 
  • Assists with agency events and requests as needed. 
  • Marketing and general outreach and development of positive working relationships connected to the art community. 
  • Oversight of all agency/student art work sales and distribution. 

In collaboration with the Day Services Administrative Supervisor, organize, assist, and conduct, when needed, all program orientation for employees. 

Financial Analysis: 

  • Conducts financial analysis of the Art Program, including expected revenue versus expected costs. 
  • Plans future growth opportunities for the Art Program based on financial wellbeing and growth goals to include the development of proposals related to staff, facility, and community engagement opportunities. 
  • All other duties and meetings as assigned by Director and Deputy Director of Day Services.
