The Assistant Facilities Manager will help oversee the daily operations of the employee experience at Woven by Toyota. They will provide consistent operational support and assist in maintaining an inclusive and safe environment for Woven by Toyota employees.

As an Assistant Facilities Manager, you'll:
- Conduct daily facility walk-throughs to identify opportunities for preventative maintenance and address issues promptly.
- Coordinate repairs with the building’s management company, ensuring a timely resolution.
- Perform basic hands-on repairs, including but not limited to light bulb and battery replacement.
- Responsively address employee requests, maintaining a high level of customer service.
- Manage the incoming and outgoing mail and shipment processes, including scanning incoming packages, sorting mail, and creating FedEx labels.
- Act as an administrator on the company’s lunch program portals, ensuring smooth operation.
- Maintain inventory of pantry food and beverages and office supplies, conducting regular assessments and ordering as needed.
- Assign and process workplace operations’ tickets in ServiceNow, ensuring efficient resolution of issues.
- Coordinate meeting/event set-ups by scheduling, communicating requirements, and ensuring proper arrangements are in place.
- Serve on the Event Committee, contributing to the planning and execution of holidays and social events.
- Provide remote assistance to other Woven by Toyota facilities as required.
- Take charge of coordinating recycling programs, promoting sustainability initiatives.
- Collaborate on projects as assigned, demonstrating initiative and resourcefulness.
- Support and actively participate in the Emergency Response Team (ERT).
- Serve as a backup to the facilities manager as needed.
Requirements
- Working knowledge of office and facility processes, including project management and budget management experience
- Proficiency in Google Platform or PM Software, Microsoft Word, Excel, and PowerPoint
- Ability to prioritize tasks effectively, delegate responsibilities, and manage competing demands
- Strong interpersonal and communication skills, fostering positive relationships across departments, and handling conflicts constructively
- Proactive self-starter with the ability to identify areas for improvement and take initiative
- Genuine affinity for the company's mission, vision, and values
- Ability to lift up to 30 lbs
