Job Description - Assistant I Administration

Primoris Distribution Services is an industry leader in the installation of distribution gas lines.  PDS’s skilled management team has experience in open trenching, joint trenching, and directional boring. PDS takes a professional approach to safety and quality. Our full-time quality assurance and safety programs ensure all employees are trained and certified. PDS prides itself on having well-maintained and state-of-the-art equipment on all our job sites.


Primoris (PDS) is seeking a highly organized and detail-oriented Administrative Assistant to provide crucial support to our project management and field teams. This role will be responsible for a wide range of administrative and clerical tasks, ensuring the smooth and efficient operation of our daily construction activities.


The ideal candidate will be a proactive problem-solver with excellent communication and computer skills, capable of managing multiple priorities in a fast-paced environment.


Primary responsibilities include, but are not limited to:



  • Provide comprehensive administrative support to superintendents, and other construction staff.

  • Manage project-related documentation, including permits, ensuring accurate filing and organization (both physical and digital).

  • Maintain and update project databases and logs.

  • Serve as a point of contact for clients, subcontractors, and vendors, handling inquiries professionally and efficiently.

  • Manage office supplies and ensure the smooth operation of office equipment.

  • Perform other administrative and clerical duties as assigned.

  • Work closely with PDS supervisor and field staff on expediting and completing daily field paperwork and duties as assigned, including but not limited to spreadsheets, copying, faxing and filing.

  • Work with management and field employees on capturing time and assisting with submittal


Requirements:



  • Prompt and courteous customer service skills, both telephone and in person

  • Ability to identify and resolve problems in a timely manner

  • Ability to coordinate multiple tasks simultaneously

  • Effective communication skills, both oral and written

  • Respond promptly to customer needs and resolve all issues satisfactorily

  • Maintain confidentiality at all times

  • Treat people with respect and uphold organizational values

  • Follow policies and procedures

  • Complete tasks correctly and on time

  • Prioritize and plan work activities and use time efficiently

  • Ability to consistently meet or exceed deadlines

  • Ability to deal with frequent changes, delays or unexpected events

  • Ability to work independently and take ownership of tasks is essential.

  • High level of competency in MS Suite, including Excel, Sharepoint/MS Teams along with all company

  • Software platforms. (Concur, PVault, Power BI).
