A Day in the Life as a Program Assistant/Monitor:

As a Program Assistant/Monitor, you’ll provide Administrative and Operational support to the Emergency Food Assistance Program (TEFAP), support the Program Director with Statewide responsibilities that include performing routine statewide monitoring of Emergency Feeding Organizations (EFO’s), implementation of Language English Proficiency (LEP), compiling program statistical reports, reconciling program inventory levels and assist with the implementation of Federal and State regulations. You will also assist with the coordination of program functions and services with state and local agencies, NHCAA, vendors, community organizations, staff members and volunteers. 

Your day will involve: 

  • Assisting implementing Statewide on-site program monitoring reviews of participating Emergency Feeding Organizations completing a minimum of 40% percent of sites annually. Maintaining a monitoring tracking system to ensure each Emergency Feeding Organization is monitored in accordance with state contract requirements.
  • Coordinating the implementation of limited English Proficiency (LEP) services with each participating Emergency Feeding Organization. Assisting with the development, coordination and implementation of statewide tracking processes for reporting monthly program data for receipt and distribution of commodities.
  • Maintaining program files for participating organizations and agencies to ensure accurate and current record keeping, i.e., contracts, delivery records, invoices, inventories, monitoring reports, etc. Maintaining current address and contact information for participating organizations and agencies, keeping current mailing label lists and notifying the appropriate State Agency and Community Action Agency staff in writing of any changes.
  • Assisting with data entry reconciling commodity distribution delivery records, client participation levels, commodity usage and inventory levels of participating agencies and organizations recommending commodity allocation adjustments as needed and as required by the State Plan. Assisting with compiling and reviewing statistical reports received from participating agencies and organizations and with compiling program reports for the State and Federal Government.
  • Providing information to Community Action Agencies and Emergency Feeding Organizations regarding upcoming commodity deliveries, product nutritional information, recipes and other pertinent information. Providing training information, technical assistance and support to participating agencies, organizations and new applicants. Assisting with processing program Agreement Contracts with participating agencies, organizations and new applicants. Provide training to new organizations interested in receiving USDA donated TEFAP foods.

Requirements

Qualifications to Be a Program Assistant/Monitor:

To excel in this role, you’ll need:

  • Education: High School graduation or equivalent.
  • Experience: Knowledge and experience in computer application/data entry.
  • Skills: Must be able to work independently, prioritize and meet deadlines. Demonstrate ability to communicate effectively with others both orally and written.
  • Characteristics: Ability to work as a team player in cooperation with multiple agencies and organizations.
  • Technical: Strong clerical skills including an ability to organize implement and maintain record keeping procedures. Food Safe Certification Strongly Preferred.

Reliable transportation and a valid driver’s license are required, as some travel within the community may be necessary.
