The Assistant Producer supports the realization of Flynn-produced and commissioned work across the Flynn campus and in communities throughout Vermont. Working in close partnership with the Producer, this role provides hands-on coordination, project management, and administrative support to ensure projects are thoughtfully planned, clearly communicated, and successfully executed.
The Assistant Producer is an early- to mid-career producing professional (minimum 2 years of relevant experience) who is highly organized, collaborative, and motivated by the process of bringing ambitious artistic work to life. This role plays a key supporting function in stewarding artists, timelines, and internal coordination so that produced work is delivered with care, integrity, and alignment with the Flynn’s artistic vision and organizational strategy.
CORE RESPONSIBILITIES
Producing & Project Support
Support the Producer in the planning, coordination, and execution of Flynn-produced projects, commissions, residencies, and public-space work
Track project timelines, deliverables, and milestones across multiple concurrent initiatives
Assist in preparing project plans, schedules, meeting materials, and internal documentation
Coordinate information flow and next steps across Programming, Production, Marketing, Creative Learning, and Operations teams
Artist & Partner Coordination
Support communication with artists during development, rehearsal, and realization phases, as directed by the Producer
Assist with artist contracting, scheduling, hospitality coordination, and on-site needs in collaboration with the Producer and Performance Manager
Help ensure a positive, organized, and values-aligned experience for artists and project partners
On-Site & Statewide Project Support
Be present on-site during rehearsals, technical periods, and performances as assigned
Support off-campus and statewide projects, including site visits, community-based work, and public-space performances
Support the on-site coordination and execution of a range of Programming, Creative Learning, and Development events, in collaboration with relevant departments
Assist with documentation, evaluation, and project wrap-up following completion
Administrative & Financial Coordination
Maintain organized project files, calendars, and shared documentation systems
Support budget tracking, expense reconciliation, and purchasing processes for produced projects in collaboration with the Producer
Assist with internal reporting and funder documentation as requested
Qualifications
Minimum 2 years of experience in arts administration, company management, production management, stage management, or a related field
Experience working in multi-disciplinary performing arts environments, including support of new work development, commissioned projects, or artist-led initiatives
Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously
Clear and professional written and verbal communication skills
Ability to work collaboratively across departments and with artists
Interest in producing work that engages communities and public spaces
Willingness to work evenings and weekends as required by performance schedules
