Job Description - Assistant Program Director

Encircle is a non-profit organization with the mission to bring the family and community together to enable our LGBTQ+ youth to thrive. Our guiding philosophy of "No Sides, Only Love" is at the heart of all our programs, services, and activities.



Job Summary


The Assistant Home Director supports the services at the Encircle St. George House, ensuring that Programs, Friendship Circles, and Drop-In Hours are the best services they can be. Under the supervision of the Home Director, the Assistant Home Director ensures all staff who organize Programs and Friendship Circles receive ongoing training and support from Encircle. The Assistant Home Director supervises Drop-In Hours to make sure all community members coming to Encircle have a welcoming experience. 



Time Commitment: Full time, 40 hours per week.



Responsibilities



  • Program Management

    • Ensure individuals have a rewarding Encircle experience by listening with empathy, being an advocate, and providing the best service and support for our guests through relationship building and implementation of healthy boundaries.

    • Support Home Director in the assessment, planning, implementation and evaluation all of Encircle Programs targeting youth, young adults and their families. Collaborate with internal and external partners to ensure program growth and success.

    • Maintain and upkeep the highest cleanliness and organization standards of the Encircle home as outlined in Encircle’s policies and procedures.

    • Supervise Drop-In Hours Tuesday to Friday, between the hours of 3pm and 8pm, occasional weekends.

    • Attend Programs and Friendship Circles on a regular basis to evaluate service excellence.

    • Mentor youth, enforce boundaries, and foster a nurturing environment for youth to thrive.

    • Organize activities, encourage participation and help develop positive social interactions.

    • Create and update monthly programming and community event calendars.



  • Leadership and Staff Management

    • Help manage interns and volunteers, to ensure programs run smoothly from week to week.

    • Coordinate monthly trainings with interns and volunteers to coach on Encircle policies and procedures.

    • Hire Program Interns to assist with program implementation and service delivery.



  • Community Engagement

    • Assist Home Director with Community Engagement initiatives and events to initiate and maintain key community partnerships and sponsorships.

    • Support volunteer management process including recruitment, interviewing, paperwork, onboarding and continuous training.



  • Administrative Tasks

    • Utilize task management tool, Asana, to prioritize, plan, and manage all assigned tasks and projects on a daily basis.

    • Participate in weekly meetings with the Home Team to collaborate with various projects, review goals, plan for future events, and align priorities.

    • Complete daily, weekly and monthly reports on home operations and evaluations.

    • Other related duties as assigned.





Qualifications



  1. Educational Background:

    • Bachelor’s degree or some college in Social Work, Psychology, Education, Human Services, or a related field. Relevant experience may be considered in lieu of formal education.



  2. Experience:

    • At least 1 year of experience working in a social service, educational, or community-focused setting, preferably with LGBTQ+ youth or related populations.

    • Experience in program management and implementation, including organizing activities and evaluating program effectiveness.

    • Proven experience in leadership roles, including supervising staff, interns, or volunteers.



  3. Skills and Abilities:

    • Strong interpersonal and communication skills, with the ability to build relationships and engage effectively with youth, families, and community members.

    • Demonstrated ability to manage multiple tasks and projects simultaneously, with a keen attention to detail and organizational skills.

    • Proficiency in using task management tools like Asana and other administrative software.

    • Competence in mentoring, coaching, and providing constructive feedback to staff and volunteers.

    • Ability to handle sensitive issues with empathy, discretion, and professionalism.



  4. Leadership and Management:

    • Experience in leading teams, coordinating training, and providing support to ensure the effective delivery of programs and services.

    • Ability to enforce boundaries and foster a supportive, inclusive environment for all participants.

    • Experience with recruiting, onboarding, and managing volunteers and interns.



  5. Community Engagement:

    • Ability to build and maintain relationships with community partners, sponsors, and stakeholders.

    • Experience in community outreach and event planning.



  6. Administrative Competencies:

    • Strong organizational skills with experience in maintaining accurate records and preparing reports.

    • Demonstrated financial responsibility and ability to manage budgets and resources effectively.



  7. Personal Qualities:

    • Commitment to Encircle’s mission and guiding philosophy of “No Sides, Only Love.”

    • High level of integrity, empathy, and dedication to the well-being of LGBTQ+ youth and their families.

    • Flexibility to work evenings and occasional weekends as required by the Drop-In Hours schedule.



  8. Additional Requirements:

    • Background check clearance and adherence to all relevant safeguarding policies and practices.

    • Ability to work both independently and as part of a team in a dynamic and evolving environment.
