Job Description - Assistant Project Manager

Role Overview

Madison Energy Infrastructure ("MEI") believes in the power of clean energy infrastructure and has emerged as a preeminent developer, investor, asset owner, and operator of distributed generation assets. This role represents a critical next step in MEI's evolution toward offering direct, end-to-end services to Fortune 500 corporates, public entities, nonprofits, and other private customers alike and building out development pipelines to finance renewable energy projects with our partners.

The Assistant Project Manager ("APM") role at MEI provides support to our Project Management team in delivering distributed renewable energy projects within one of the United States' fastest-growing energy industries. This role will focus on providing administrative, operational and regulatory support to ensure the efficient completion of projects. The APM will work closely with designated Project Managers and the wider Operations team, playing a critical role in the coordination and documentation of multiple projects through their design, construction and closeout. These projects vary in size and complexity, encompassing everything from smaller rooftops to expansive ground-mounted solar PV and/or battery energy storage systems spanning the nation. Join our team to make a substantial impact on the nationwide renewable energy landscape.

What You’ll Be Doing

  • Administrative Support: Provide comprehensive administrative support to designated Project Managers, including managing schedules, organizing meetings, preparing meeting minutes, following up on action items, drafting correspondence, etc.

  • Document Control: Maintain and manage all project-related documents, including file naming convention, contracts, permits, reports, and compliance documentation, ensuring they are up-to-date and easily accessible.

  • Project Support/Tracking: Assist in onboarding newly closed projects and track project milestones, deliverables/submittals, and timelines using project management systems such as MEI's project portal (MESH). Ensure systems are consistently updated with accurate and current project data.

  • Reporting: Prepare regular status reports for the Project Manager, highlighting key project updates, risks, and overall project progress.

  • Budget Assistance: Support project budget tracking by reviewing invoices, assisting with payment processing, and supporting procurement activities.

  • Compliance Monitoring: Support project-level compliance and incentive program execution by preparing and submitting required regulatory filings, including FERC and EIA forms, and assisting with SREC and state-level incentive program applications and registrations.

  • Stakeholder Coordination: Assist in coordinating communication between project stakeholders, including subcontractors, vendors, clients (PPA, Lease), MEI finance, and independent engineers.

  • Issue Support: Participate in the resolution of project issues related to schedule, construction, finance, and external stakeholders by tracking items, coordinating follow-ups, and escalating as needed.

What We're Looking For

  • Minimum 2 years' experience in an administrative or project coordination role, preferably in construction, engineering, or energy sectors

  • Strong organizational and multitasking abilities, with high attention to detail

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Experience with project management software and tools preferred

  • Knowledgeable of project documentation best practices and processes

  • Ability to work independently and manage multiple priorities in a fast-paced environment

  • Excellent written and verbal communication skills

Preferred

  • Ability to utilize Artificial Intelligence (AI) tools to enhance productivity

Benefits

  • Medical, dental, vision

  • Employer-paid short-term disability, long-term disability, life insurance

  • 401(k) and company match

  • Professional development stipend

  • Strong culture of collaboration, performance, and personal growth
