Job Description - Assistant Registrar, Loans and Exhibitions


Department: Registration & Collection Management
Reports to: Registrar, Loans and Exhibitions
Job Type: Full Time–Regular
Job Classification: Hourly (Non-exempt)
Workplace Location: Los Angeles – Academy Museum

Summary/Objective:
The Assistant Registrar, Loans and Exhibitions, plays an integral role in the Museum’s loans and exhibitions program. This role requires strong listening and communication skills, the ability to manage multiple priorities, and the ability to take direction.

Essential Functions of the Job:
  • Assist with logistics for incoming/outgoing loans and exhibitions, including but not limited to packing, shipping, and condition reporting.
  • Ensure proper documentation and record-keeping are completed, following AAM standards, for loans and exhibitions, including but not limited to inbound and outbound paperwork, receipts, and condition reports.
  • Assist with managing workflow and schedule in collaboration with other departments to ensure loans are delivered, installed/deinstalled, and returned efficiently and safely. Anticipate and identify potential issues and communicate information with Registrars.
  • Assist with art handling and exhibition preparation of loan objects, including installation, deinstallation, transport, unpacking and packing of crates, location tracking, and other movement.
  • Supervise filming and photography of objects or galleries as needed. 
  • Assist with the creation and maintenance of physical and digital loans and exhibitions files, as well as data entry in a collection management database, in accordance with department protocol.
  • Manage temporary deposits, including but not limited to cross-departmental communication, agreements, insurance, incoming and outgoing logistics, and documentation.
  • Maintain supplies at various locations, responsible for tracking inventory and reordering as necessary.
  • Organize and maintain work areas, maximizing physical space and creating efficiencies for storage of objects and empty crates/packaging.
  • Other duties as assigned.
Required Competencies:
  • A bachelor’s degree in art history, museum studies, or a related subject required. Relevant combinations of degrees and experience may be considered.
  • Must be able to travel domestically and internationally, as necessary, and possess a valid passport.
  • 1-2 years of professional experience with registration in a museum, archive, or library setting.
  • Knowledge of and experience with standard museum registration and collection management policies and procedures, best practices for object handling, and preventative care for museum objects.
  • Strong computer skills, including intermediate proficiency with collection management databases, word processing, and spreadsheets.
  • Ability to work effectively on a wide variety of projects concurrently, while remaining receptive to changing priorities.
  • Ability to establish and maintain collaborative relationships in a professional work environment and communicate clearly, both verbally and in writing.

Physical Demands:
  • Must be able to traverse, remain in a stationary position for periods of time, and climb stairs and ladders.
  • Must be able to move and transport materials weighing up to 30 pounds.

Required Vaccination: Full vaccination against COVID-19 is required, including any booster vaccinations as applicable. Exception: Medical and religious accommodations approved by the Office of People & Culture. 

Compensation: The base salary range for this role is $26.00 - $28.00 per hour. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
