Job Description - Assistant Store Manager In-Training - Once Upon a Child


Job Description
We are hiring for an Assistant Store Manager to report directly to the store manager and is responsible for facilitating and supervising daily operations at our store to make sure that employees work together effectively to make sales and contribute to shop upkeep. Job Responsibilities include communicating with customers, employees and the store manager about inventory and help train new employees.  We are looking for someone with retail experience that can be in a training position to take over as the assistant store manager within 3-4 weeks of starting.  Previous retail experience with a Winmark brand franchise is a plus.

Responsibilities:
Floor/ Backstock
  • Walk the sales floor once per shift to maintain store appearance.
  • Assist with making sure the floor has the best possible set up:
    -Know your predicted sales/floor allotment
    -Know your backstock  
  • Keep the floor full and work with store manager on how to maximize the product on the floor because you’re OUT of something.
  • Do not allow staff to continue making the floor too full – snake or backstock as needed.
  • Floor should be checked to make sure items are in the correct areas of the store at every close.  Don’t allow staff or leaders to get lazy; hold team accountable.
  • Store should be tasked to employees once per week, when possible, but at least once per 2 weeks to keep everyone accountable.
  • Keep up on backstock bins. Request supplies as needed.
  • Notify store manager when backstock bins are ready to be moved offsite. A text the day before with requests for bins to be brought back or removed would be ideal.
  • Help work with Store Manager to solve problems to get inventory on the sales floor.

Hiring/Training
  • May be responsible for new employee orientation and training as well as holding your key holders accountable so they can assist you with training for all new employees.
  • Know where the next step is for every employee:
    -make sure staff is constantly improving
    -know all employees’ strengths and weaknesses
    -train extra in areas if an employee shows aptitude
  • Communicate when someone is trained on registers and then once they master both entering and sorting because that’s when employees get raises.
  • Training opportunities:
    -constantly take notes of mistakes throughout the week
    -frequently look through current backstock buckets and/or buys
  • Make sure keyholders are reinforcing training
    -leave keyholders with training checklists or job allocations for shifts as needed
    -are they following opening/closing tasks?
    -are they checking after employees?
  • Pricing opportunities – train where staff could adjust prices up or down.

Discipline –
  • Stay updated on training and issues with employees.
  • When addressing issues with employees set solid dates for issues being resolved.
  • Document disciplinary actions with the proper form.
  • Watch the details of staff.  When time allows check on them that they are completing their job with accuracy and fix anyone who needs it with examples and positive direction.
  • Holding keyholders accountable.

General -
  • Maintain the culture of the business, which is Fun, Friendly, Positive and Customer Focus!
  • Make to do lists:
    -write issues down for weekly notes
    -make training checklists, as needed
  • Follow up on everything you do:
    -make sure employees and keyholders are fixing addressed problems
    -check behind employees randomly.
  • Know how to do create and maintain the needs lists/supply requirements, floor maps, and backstock counts.
  • Take calls about shift changes, call outs and staff needs.
  • Empower your keyholders to make a decision themselves once you have coached them.
  • Know how to take care of missing tags, adjust inventory and add new inventory.
  • Know how to use our internal software for all application uses including checking customers in, completing a buy, retrieving sales data for planning purposes. 
  • Know how to give an employee a login once ready for registers.
  • Communicating the safe needs ideally only 1-2 times per week.
  • Assist with making the schedule.
  • All customer complaints and issues must be resolved at store level. Assistant Store Manager is designed to resolve all issues before being sent to Store Manager or Owner when applicable.
