Job Title: Automotive Service Assistant


Department: Service Department / Fixed Operations


Reports To: Service Manager


 


Position Summary


The Automotive Service Assistant supports the daily operations of the service department by providing administrative, clerical, and operational assistance to Service Advisors, technicians, and management. This role helps maintain an organized and efficient service environment while ensuring accurate documentation, appointment scheduling, and departmental support. This position also serves as an excellent entry point for individuals interested in developing the knowledge, skills, and experience needed to advance into a Service Advisor role in the future.


 


Key Responsibilities


• Greet customers in a professional and friendly manner.


• Schedule and confirm service appointments.


• Prepare and maintain repair orders and service department documentation.


• Verify customer and vehicle information and ensure records are accurate.


• Assist with opening and closing service repair orders.


• File, scan, and organize service-related documents.


• Maintain accurate customer and vehicle records.


• Process service paperwork, maintenance records, and internal documentation.


• Coordinate vehicle movement within the dealership as needed.


• Assist with loaner vehicle, rental vehicle, or shuttle administration as applicable.


• Answer and direct incoming service department phone calls.


• Assist with cashiering and payment processing when required.


• Maintain a clean, organized, professional service drive and customer waiting area.


• Support service department processes, projects, and administrative functions.


• Perform other duties as assigned by management.


 


Qualifications


Required


• High school diploma or equivalent.


• Strong customer service and communication skills.


• Excellent organizational and multitasking abilities.


• Basic computer proficiency and familiarity with Microsoft Office applications.


• Ability to work in a fast-paced environment.


• Valid driver's license with an acceptable driving record.


Preferred


• Administrative, customer service, receptionist, or office support experience.


• Experience scheduling appointments and managing paperwork.


• Basic understanding of automotive maintenance and repair terminology.

• Ability to occasionally lift up to 25 pounds.


• Ability to enter and exit vehicles frequently.


• Ability to work in a dealership environment with exposure to noise, weather conditions, and moving vehicles.
