About AllCare AI Medical Concierge:

Beyond direct clinical care, AllCare is building the most advanced AI-powered facility concierge service for the assisted living industry at a national level. Our platform handles the complex administrative and logistical tasks—from pharmacy coordination to patient discharge—allowing facility staff to focus entirely on resident care. We combine human expertise with AI agents to deliver an unparalleled, efficient service that elevates the standard of operations for our partner facilities.

Your Role:

You will not be working as an administrator for a single assisted living facility. Instead, you will be a foundational leader at AllCare, building the most advanced AI-powered concierge service for the ALF industry at a national level. We are looking for a strategic problem-solver who can architect processes, design workflows, and instill a top-notch service mindset, delivered through our human capital and AI agents. Your deep, hands-on experience in assisted living operations is the critical ingredient that will ensure our service is not just technologically powerful, but practically perfect for the facilities we serve.

Key Responsibilities:

  • Process Architecture & Workflow Design: Build, document, and refine the core processes and workflows for our national AI Medical Concierge service from the ground up.
  • Human & AI Team Leadership: Lead, mentor, and schedule a remote team of Medical Concierge agents, fostering a culture of excellence and empathy. You will be the key liaison between operational expertise and our AI development.
  • Hands-On Service Delivery & Optimization: Personally manage and triage a high volume of service requests in our Freshdesk system to understand pain points firsthand, using this insight to continuously improve and scale our service offerings, including:
    • Patient Logistics: Coordinating non-emergency medical transportation (NMT).
    • Pharmacy Coordination: Managing bulk prescription renewals using your knowledge of PioneerRx.
    • Diagnostic Coordination: Scheduling lab draws, imaging scans, and other tests.
    • Discharge Support: Facilitating smooth patient discharges.
  • Facility Relations & Strategic Liaison: Serve as the primary expert point of contact for our partner facilities, building strong relationships and conducting site visits to ensure our service exceeds expectations.
  • Clinical-Tech Integration: Utilize your knowledge of pre-charting, charting, and EMR systems to ensure seamless communication between concierge actions and clinical teams.

Qualifications & Requirements (Mandatory):

  • A minimum of 2+ years of direct management and logistics experience within an assisted living facility (e.g., as a Manager, Coordinator, or Administrator).
  • Mandatory, hands-on experience managing assisted living logistics, including coordinating transportation, pharmacy, and diagnostic services.
  • Required Technical Proficiency (Mandatory):
    • PioneerRx: Proven, hands-on experience is required.
    • Freshdesk (or similar): Experience with ticketing systems is required.
    • EMR Systems: Hands-on experience with Electronic Medical Record systems.
  • A proven problem-solver with exceptional organizational skills, eager to build processes from scratch.
  • This is a full-time, on-site position at our Irvine office: 18650 MacArthur Blvd, Suite 450, Irvine, CA 92612. Must be willing to visit local facilities as needed.

Compensation & Benefits:

  • Salary Range: $85,000 - $92,000 per year, commensurate with experience. This elevated range reflects the strategic, build-from-the-ground-up nature of this role.
