This position is responsible for ensuring seamless execution of brand programs through organized tracking, communication, and management of timelines, samples, and deliverables across multiple retail channels.

The ideal candidate is highly organized, detail-oriented, and proactive, with a strong interest in the beauty and personal care industry. This role is essential in supporting Brand & PD coordination, formula, packaging and sample management, and overall project organization to ensure each program launches on time and aligns with brand standards.

Essential Duties & Responsibilities:

The essential functions include, but are not limited to, the following:

Brand PD, Operations & Coordination:

  • Support the Brand team in managing timelines, key milestones, and deliverables across active product programs.

  • Coordinate cross-functional communication between Brand, PD, Creative, and Sales to ensure alignment on project objectives and deadlines.

  • Maintain and update project trackers for new and existing programs within personal care, beauty, and home fragrance.

  • Prepare and organize materials for internal and external brand/pd reviews, customer meetings, and retailer presentations.

  • Track packaging progress and artwork approvals in collaboration with internal teams and suppliers.

Sample Management & Organization:

  • Manage the receipt, organization, labeling, and shipment of product and packaging samples.

  • Maintain a centralized inventory of all samples for internal reference and external distribution.

  • Coordinate delivery of samples for buyer meetings, photography, and product evaluations.

Off-Price & Home Fragrance Focus:

  • Support the execution of programs for the off-price division, ensuring products meet retailer specifications and shipment timelines.

  • Assist in managing documentation and sample tracking specific to off-price customers.

  • Partner closely with the team overseeing the home fragrance category to coordinate fragrance briefs, packaging mockups, and product submissions.

  • Help organize and maintain fragrance reference libraries, ensuring accuracy and accessibility for brand and development teams.

Administrative & Departmental Support:

  • Assist with meeting preparation and follow-up on action items.

  • Track project statuses and communicate updates to internal stakeholders as needed.

  • Provide day-to-day support to ensure brand operations run efficiently.

Trend & Consumer Insight Support

  • Assist in gathering market, social, and consumer trends across the beauty and personal care landscape to inform brand ideation and product positioning.

  • Compile and summarize relevant insights from trend reports, social media, and competitive retail reviews.

  • Support the Brand team in translating key findings into actionable recommendations that help shape product development and brand direction.

Position Requirements:

  • Bachelor’s degree in Business, Brand Management, or related field preferred.

  • 1–2 years of relevant experience in beauty, personal care, or consumer goods industries preferred.

  • Must be able to work at our New York office 4x a week.

  • Exceptional organizational and communication skills, with the ability to manage multiple priorities.

  • Strong attention to detail and follow-through.

  • Proficiency in Microsoft Office (Excel, PowerPoint, Word); experience with project tracking tools is a plus.

  • Passion for the beauty, personal care, and fragrance industries.

Salary: The anticipated base salary is $80k-$90k annually. Actual compensation will be determined based on a variety of factors including, but not limited to, experience, skills, education, internal equity, and location.
