Job Description

Under the direction of the Director, the Assistant to the Director will handle administrative direction, perform work of considerable responsibility in administering services, personnel, and a set of programs which provide support to the faculty and staff assigned within the School/College/Department. Serves as a liaison to the college/department, to other units of the university, to committees within, and to outside constituencies.

Spread across three locations including LA, The Sidney Poitier New American Film School offers students access to cutting-edge filmmaking facilities, networking with industry professionals and exclusive events and internship opportunities at a fraction of the cost charged by legacy film schools. Unique to The Poitier Film School is the Media and Immersive eXperience (MIX) Center in Mesa, a world-class facility for film, media arts, design and emerging technology. Its script-to-screen capabilities allows students to learn every aspect of the filmmaking process with its soundstages, color-grading room, sound-mixing studios, editing bays and screening theaters. Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
Regular activities require ability to quickly change priorities which may include and/or are subject to resolutions of conflicts.
Ability to clearly communicate to perform essential functions.
Regular use of standard office equipment including, but not limited to computer workstation / laptop (keyboard, monitor, mouse), printer, fax, copier, and telephone.
Assistant to the Director will work primarily out of the Media and Immersive eXperience (MIX) Center in downtown Mesa, AZ although a hybrid of remote and in-person may be possible. Some travel to other ASU campuses may also be required.

Minimum Qualifications

Bachelor's degree in a related field AND four (4) years experience in an administrative position; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills, and abilities have been achieved.

Flexible work options

Alternative work schedules can include four, 10-hour workdays in a workweek; a nine-day, 80-hour schedule over two workweeks for exempt employees only; and staggered start and stop times.

Essential Duties

Facilitates, with the associate directors, a variety of complex programs and activities.
Serves as a conduit of information from university personnel, faculty and staff on issues that impact the Dean and the Office of the Director.
Screens and refers telephone inquiries from members of the university community and the public on behalf of the Director for problem resolution and resource referral.
Manages the director's calendar; coordinates and arranges for the director's calendar to ensure optimal use of time
Compiles, prepares, and maintains background material related to meetings, events, and travel Coordinates and tracks follow up items to ensure timely completion of tasks
Independently composes correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved. Composes correspondence involving judgment for non-routine, significant inquiries and problems.
Coordinates arrangements for a variety of Director's Office events and activities.
Reviews and follows-up on academic and program issues surfaced during meetings and events.
Assembles agenda items for meetings and events and maintains official meeting records.
Reviews the Director's mail and prepares draft responses or directs to appropriate individuals for response and/or action signed by the Director.
Performs special assignments as instructed by Director.
