Be the welcoming face of the athlete experience. Guide student-athletes from injury through recovery, delivering responsive, compassionate service at every step.
Create connections that strengthen care. Build productive relationships with student-athletes, parents, coaches, Community Hospital providers, Athletic Trainers, practice teams, local schools, universities, and athletic programs.
Take ownership of every referral. Receive, prioritize, manage, and track referrals from Community Hospital providers and Athletic Trainers, ensuring they move forward quickly and in accordance with applicable contracts.
Make timely care easier to access. Collaborate with practice front desk teams and managers to schedule appointments and services—including laboratory testing, radiology, and MRI—accurately and promptly.
Keep the details organized and the athlete informed. Collect and verify demographic and insurance information, maintain complete and current charts, gather missing information, and follow up in a timely, personable way when details are incomplete or incorrect.
Advocate on behalf of student-athletes. Work with insurance companies as needed and partner with the Director of WOSM and Community Hospital to seek approval for denied services. Track denials accurately for reporting.
Deliver dependable Athletics Hotline support. Return calls within 24 hours, submit referrals within one business day, collect and verify information from student-athletes, coaches, or parents, confirm referrals are submitted and scheduled, and maintain an accurate tracking spreadsheet.
Communicate with professionalism and discretion. Manage correspondence, documentation, files, and reports confidentially; provide regular updates to Community Hospital providers and Athletic Trainers; and, when appropriate releases are in place, update coaches and parents.
Help turn concerns into solutions. Elevate issues to the supervisor as appropriate, promptly report student-athlete and coach complaints to designated leaders, and assist with timely resolution.
Help shape a strong Sports Medicine program. Support the development and implementation of policies and procedures in partnership with the Chief Development Officer, Director of WOSM, Director of Grand Valley Rehab, and Sports Medicine Medical Director.
Contribute to a collaborative team. Participate in monthly staff meetings to strengthen communication, solve problems, and keep colleagues informed of updated policies.
Requirements:
Associate degree in health sciences, sports medicine, or a related field required (Bachelor's preferred).
One (1) year of related experience (or training in a physician practice or hospital setting) or equivalent combination of education and experience.
Experience in a healthcare, athletics, or customer service setting strongly preferred.
Excellent organizational and multitasking skills, with attention to detail.
Strong interpersonal communication skills—both written and verbal.
Ability to collaborate with a variety of stakeholders including healthcare providers, coaches, trainers, and students.
Familiarity with scheduling systems, EMR platforms, and insurance preauthorization processes is a plus.
Compensation:
The anticipated compensation range for this position is $21.00 – 24.15 per hour, commensurate with qualifications, education, experience, and other applicable factors. This position is non-exempt under the Fair Labor Standards Act.
Additional compensation may be available in the form of discretionary incentive or other compensation programs. Any such additional compensation is not guaranteed and is determined at the sole discretion of the organization based on applicable program terms, individual and/or organizational performance, and other eligibility requirements.
