Year-Round, Hourly



Reports to:  School Operations Manager



Organizational Overview



Grow Public Schools (GPS), founded by the Grimm Family Education Foundation opened its doors in August 2011.  Located in Arvin, California, Grow Academy is an independent public charter school where health and wellness is at the center of student success.  Grow Academy implements a rigorous blended learning model where students actively engage in a unique, diversified learning environment in our Learning Lab, music program, physical education, and Edible Schoolyard (ESY) program.  



In 2016, Grow Public Schools (GPS), formerly Grimmway Schools, was established as the Charter Management Organization (CMO) responsible for support and management of the academies.  Today, GPS is redefining academic excellence in Kern County as a multi-campus charter school operator.  GPS operates Grow Academy (GA) Arvin, and GA Shafter, both TK-8 schools with over 800 students.  We hold high expectations for our students, parents, teachers, and staff to ensure a supportive and successful learning environment to close the opportunity gap in some of the highest need communities in California.



Job Summary:  The Attendance & Enrollment Specialist will be responsible for maintaining accurate attendance records, ensuring compliance with attendance policies and procedures. They will coordinate enrollment efforts, maintain the student information system, and accurate student schedules. They are responsible for following up on truancies and ensuring accurate attendance for state reporting through monthly verifications.  This role requires excellent communication skills, strong attention to detail, and the ability to work collaboratively with staff, parents, and external agencies.



 Duties and Responsibilities: 


Scholar Enrollment & Records Management



  • Perform clerical activities related to scholar enrollment, ensuring compliance with policies and regulations.

  • Research, compose, and process all enrollment paperwork, including School Entry Forms, immunization records, and birth certificates.

  • Maintain accurate student records in the Student Information System (SIS) and CALPADS, collaborating with CMO and site leadership for alignment.

  • Work with Grow staff and other districts to facilitate smooth student enrollment and exit transitions.

  • In collaboration with site leadership and the Family and Community Engagement Liaison, facilitate parent information sessions during student recruitment and open enrollment.



Attendance Monitoring & Compliance



  • Maintain comprehensive and accurate attendance, tardiness, truancy, and enrollment records in SIS

  • Monitor scholar attendance to identify truant and chronically absent scholars and take appropriate action

  • Prepare and distribute correspondence regarding excessive absences, including truancy letters and parent meeting requests

  • Work with parents and families to gather necessary documentation for long-term absences and manage independent study process and records

  • Prepare daily and monthly reports on scholar attendance and enrollment data

  • Serve on the school’s Coordination of Services and Positive Behavior Interventions and Supports teams to help design school wide attendance initiatives to increase attendance awareness and to identify scholars in need of case management supports


Scholar & Family Support



  • Maintain accurate and up-to-date records for English Learners (ELs) and students identified under the McKinney-Vento Act, ensuring timely coordination with appropriate staff or agencies to provide necessary academic and social-emotional supports.

  • Serve as case manager for individually chronic absent scholars

  • Help the Family and Community Engagement team identify events and campaigns related to healthy attendance habits

  • Assist with general office functions, including reception, answering phone calls, addressing parent concerns, and supporting classroom discipline.



Other functions of the job include but are not limited to the following:



  • Demonstrate preparation, skill, and a growth mindset for working with students from diverse cultural, economic and ability backgrounds.  

  • Encourage parent and community involvement, obtain information for parents when requested, promptly return phone calls and answer emails.  

  • Active participation in relevant professional learning opportunities provided on site, through the GPS CMO, or an outside provider.

  • Mentor peers to help them develop the skills needed to progress as teachers, as needed.

  • Participate in extracurricular activities such as social activities, sporting activities, clubs and student organizations as directed.  

  • An enthusiasm for Edible Education and experiential problem based approach to learning.

  • Other duties as assigned.



School Operations & Scheduling



  • Create and distribute the school schedule, including courses, sections, and rosters.




Required Education and Experience: 



  • 1–3 years of administrative experience, preferably in a school office setting

  • Proficiency with database software and data entry systems

  • Strong organizational skills and attention to detail

  • Ability to work independently and collaboratively in a fast-paced environment

  • Proficiency in Microsoft Excel and/or Google Sheets

  • Fluency in Spanish required (written and spoken)



Physical requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear.



The employee frequently is required to stand; sit; walk; use hands to finger; and reach with hands and arms. The employee must have the ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations. The employee is occasionally required to push, move, lift or otherwise bear up to 10 pounds, and occasionally up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, and peripheral vision.  Specific hearing abilities are required by this job.



Work Environment: This position is in-person, in instructional facilities located in Kern County. Some travel is required to other work sites.
