Job Description - Auxiliary/Volunteer Specialist

General Summary
  • The Auxiliary and Volunteer Services Specialist will assist with the management of collection, processing and reporting of accounting responsibilities along with clerical and fundraising support in coordination with Director of Auxiliary and Volunteer Services.

Essential Duties and Responsibilities

  • Provides day-to-day management of department and auxiliary financial operations including processing of daily requisitions, purchasing requests, and financial records for accounts payable and receivable resolving disputes and/or gift shop claims within basic accounting practices utilizing Quickbooks.

  • Prepares board packets, minutes and sends out general communication interacting effectively with Auxiliary Board members, volunteers, physicians, patients, administrators and other hospital personnel.

  • Processes and assists with fundraising events and reconciling payroll deduction reports and vendor rebates.

  • Provides assistance for cash registers, volunteer training and gift shop inventory processing to manager of volunteer services.

  • Creates and maintains shopify account for gift shop to assist patients and visitors with buying gifts (even if visitors are restricted.)

  • Communicates well both verbally and in writing, creates accurate and punctual reports, delivers presentations, shares information and ideas with others, has good listening skills.

  • Coordinates, confirms and requisitions payments for departmental and auxiliary board travel arrangements.

  • Creates and develops various cards for volunteer appreciation, thank you’s, etc. Maintains inventory of departmental supplies. Develops new reports as needed. Manages database files for up-to-date reports. Provides general office assistance to manager and director.

  • Maintains volunteer hours, constructs new volunteer recorda, maintains online applications and processes information in a timely manner.

  • Responsible for computerized tracking, maintaining, reporting and reconciling: auxiliary credit cards, general treasurer, departmental budgets, gift shop, lemon tree grill, fundraisers and repeat boutique.

  • Responsible for immediate supervision of the VolunTEEN and college student volunteer programs including application process, orientation and scheduling.

  • Interacts with volunteers in a positive and cooperative manner when following up on database management questions, assistance for daily operational issues, and workstation issues. Works well with others and contributes to team spirit. Displays professional appearance within standards of dress.

Education

  • Bachelor’s or master degree in business, leadership or healthcare related field required.


Work Experience

  • Minimum of three years of experience in the functions of the department (or similar department) required.


Certification/License

  • Certified Specialist Accounting and Finance (CSAF) certification or similar certification desirable.

Mental/Physical Requirements

  • Ability to work effectively with all ages to include internal and external contacts (but not limited to): volunteers, coworkers, physicians, vendors, visitors, and patients. External Contacts: Community agencies and advocates. Considerable mental concentration for sustained periods of time with attention to detail of paramount importance. Pressures of time, accuracy, and interruptions. Must handle confidential material. Standard office conditions.
