Job Description - Back Office Coordinator


The Back Office Coordinator is a key role to ensure that patients receive the care they need as well as the administrative duties in the office are completed efficiently and accurately. This role involves a strong attention to detail to ensure quality checks on each patient receiving care has a smooth and enjoyable experience.

Responsibilities

  • Manage the patient funnel from procedure order through completion.
  • Conduct patient communication, including welcome calls, reminders, follow-ups, and relationship building for all Advanced Case patients.
  • Verify insurance coverage, review medical policies, and prepare/submit authorizations to vendors.
  • Track authorizations and case progress across multiple vendor portals.
  • Ensure all preoperative requirements (labs, MRIs, clearances, psych evals) are completed before procedures.
  • Coordinate with vendors, providers, clinics, and external offices regarding Advanced procedures.
  • Oversee ASC Advanced case days: maintain a condensed schedule, fill canceled spots, and confirm appointments with patients and vendors.
  • Schedule new patient consults for PERM/vendor referrals.
  • Manage psych eval communications: send schedules, gather missing information, and upload records.
  • Create charts and schedule cases for external providers at ASCs.
  • Send weekly case reports to all vendors.
  • Handle all cancellations/reschedules and communications with Advanced Case patients.

Requirements

Minimum Qualifications

  • A High School Diploma or GED with equivalent work experience is required
  • EMR experience is preferred
  • Knowledge of medical terminology is preferred.
  • Proficient written and verbal communication skills
  • Strong attention to detail
  • Excellent customer service skills
  • Strong critical thinking skills
  • Able to prioritize tasks and follow supervisor and provider’s instructions
  • Works collaboratively with others and is a team player

Physical Requirements

  • Requires the effective use of office equipment including, but not limited to, computers, phones, and printers
  • Ability to sit at computer terminal for extended periods of time
  • Ability to communicate in an active office environment
  • Must be able to lift up to 15 pounds at times
