Job Description - Behavioral Health and Recovery Services Data Coordinator

At Community-Minded Enterprises (CME), we believe recovery is possible, and communities thrive when people have access to the support and resources they need. Our Behavioral Health and Recovery Services Initiative works every day to support individuals on their recovery journey and strengthen the systems that serve them.

We are seeking a detail-oriented and systems-savvy Data Coordinator to help ensure our programs run smoothly and our data tells the story of the impact we are making in the community. This role is perfect for someone who enjoys working with data, improving systems, and helping teams use information to make better decisions.

As the Data Coordinator, you will play a critical role in maintaining the accuracy and integrity of our electronic health record (EHR) systems, supporting reporting and billing processes, and ensuring our programs meet regulatory and funding requirements.

If you enjoy solving problems, improving processes, and supporting mission-driven work, we’d love to hear from you.

What You’ll Do

Electronic Health Records (EHR) Management

  • Serve as the organization’s subject matter expert on CME’s Electronic Health Record (EHR) and data systems.

  • Troubleshoot system issues and coordinate with software vendors to resolve technical concerns.

  • Collaborate with internal teams to implement system updates, upgrades, and improvements.

Data Quality & Integrity

  • Monitor and ensure accurate, complete, and consistent data entry across EHR systems.

  • Conduct routine data audits and address discrepancies or data issues.

  • Develop and maintain data entry standards and best practices.

Reporting & Data Insights

  • Design and maintain reports that support program operations, financial tracking, and compliance requirements.

  • Provide actionable data insights to leadership and program teams.

  • Manage billing-related reports to ensure timely and accurate submissions.

Training & Support

  • Train staff on EHR usage, data entry standards, and reporting tools.

  • Provide ongoing technical support and guidance to program staff.

  • Promote best practices for data management and documentation.

Collaboration & Coordination

  • Serve as a bridge between program staff, compliance, and finance teams to align data processes.

  • Work closely with the Director of Risk and Compliance to ensure regulatory and audit readiness.

  • Partner with the finance team to reconcile data for accurate billing and reporting.

Compliance & Documentation

  • Maintain knowledge of applicable regulatory and compliance requirements.

  • Document workflows, procedures, and system configurations to support organizational continuity.

Additional Responsibilities

  • Occasional evening or weekend hours may be required based on program needs.

  • Perform additional duties as assigned.

Qualifications

Education & Experience

  • Associate degree in Addiction Studies preferred or 4+ years of experience in substance use disorder or behavioral health services.

  • Experience with data entry, reporting, or data analysis.

  • Familiarity with Medication Assisted Treatment (MAT) programs preferred.

  • Knowledge of grant-funded programs, Medicaid transformation, or integrated care systems is helpful.

  • Experience with community outreach or recovery-focused services is a plus.

Certifications

  • Valid Washington State driver’s license and access to reliable transportation with liability insurance.

  • CCAR Recovery Coach Certification and Washington Certified Peer Counselor preferred (or ability to obtain within 90 days).

Skills & Abilities

Communication

  • Ability to communicate clearly with staff, partners, and clients.

  • Strong documentation and written communication skills.

Analytical Skills

  • Ability to interpret data, graphs, and reports.

  • Strong attention to detail and accuracy.

Interpersonal Skills

  • Ability to work collaboratively within a recovery-oriented environment.

  • Strong customer service and relationship-building skills.

Technology Skills

  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Experience working with electronic health records or database systems. (IE. ReliaTrax)

  • Ability to research and troubleshoot using online resources and system documentation
