Job Description - Behavioral Health Front Office Specialist
Primary Responsibilities
Warmly greets clients, families and visitors to Family Ark Behavioral Health Center and ensures a welcoming and supportive environment.
Responds to incoming phone calls using a trauma‑informed and patient-centered approach.
Assist clients with check‑in, registration, and completion of required paperwork. Enter new client information into the EMR, assigned therapist list, and internal BHC census sheet.
Maintain confidentiality in compliance with HIPAA and organizational policies.
Schedule, confirm, and update client appointments for clinicians and providers.
Communicate scheduling changes, provider availability, and cancellations promptly.
Collect and verify insurance information; assist with insurance updates as needed.
Accept copayments or fees and follow appropriate financial handling procedures.
Manage incoming and outgoing mail, email correspondence, and faxes.
Support data entry, recordkeeping, and electronic health record (EMR) tasks.
Ensures the operational readiness, appearance, and presentation of the office and other client areas.
Performs office activities suchas filing, recordsmaintenance, preparing correspondence, maintainingthe necessary office supplies, faxing recordsand mail distribution according to agency policies and procedures.
Assist with center events, meetings, or administrative projects as assigned.
Help maintain office supplies, inventory, and equipment.
Responsible for collecting and processing intake documents during the client registration process.Enter new client information into the medical system, therapist list and internal BHC census sheet.
Routinely, on the 2nd and 16th of the month, checks Medicaid eligibility for FABHC clients.
Collects patient vital signs and medical recommendations from physicians and the psychiatric nurse practitioner as needed.
Conducts building and safety checks routinely and when maintenance or repairs are indicated,ensures action is takenutilizing the maintenance request form.
Performs other duties and responsibilities as assigned, including tasks that support and assist with agency-wide goals and activities.
MinimumRequirements
High School Diploma or GED .
Oneyears’ experience as a receptionist or similar position.
Experience in behavioral health preferred.
Experience with Medicaid billing a plus.
Exhibits regular and punctual attendance.
Computer and word processing skills.
Must be able to work independently and meet strict deadlines.
Superior organizational and problem-solvingskills.
Strong communication and negotiation skills.
Must be able to work with a diverse population.
Must demonstrate a commitment to quality performance and service excellence as each relates to the agency’s comprehensive quality assurance plan and continuous quality improvement objectives.
