Job Description - Bilingual Administrative Assistant

Description

CKD USA, a Japanese-owned company, has been serving the United States for 40 years, providing a wide range of automation technology components, including pneumatic and electric actuators, directional control valves, vacuum components, air preparation, and process valves. Our products are widely used in industries such as automotive, packaging, semiconductor, and medical. With a strong distribution network and an extensive product lineup, CKD USA delivers world-class automation solutions to OEMs and end-users nationwide. 

CKD USA Corporation is looking for a local candidate with prior experience as an Administrative Assistant to join our Santa Clara Office, bilingual Japanese is a plus. The ideal candidate will be responsible for maintaining daily office administration and management for our sales and engineering teams. Will develop efficient and effective administrative systems and processes; work with both departments to facilitate administrative efficiency and maintain open communication with all employees throughout the organization. Reports to Engineering Manager. 

Responsibilities:

  • Perform verbal translation in meetings with CKD Japanese counterparts.
  • Perform written translation of meeting minutes and documents in preparation for meetings with CKD Japanese counterparts
  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Prepares agendas and schedules for meetings.
  • Records and distributes minutes or other records for meetings.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Maintains a system for recording expenses and the use of petty cash.
  • Assist HR with onsite employee engagements.
  • Present a positive and respectful professional image towards customers and co-workers and make decisions based on company policies and processes.
  • Perform other related duties as assigned.

Requirements:

Experience and Skills:

  • Three to five years of previous experience in an administrative role with a Japanese organization in a translation role. 
  • Excellent organization skills, and the capacity to manage several tasks or requests simultaneously. 
  • Exceptional verbal and written communication skills
  • Excellent interpersonal and customer service skills; the ability to interact professionally with all team members in the office and on the workshop floor.
  • Excellent time management skills
  • Problem-solving ability
  • Ability to work in a team environment and individually independently. 
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Prior experience in an international & multicultural work environment.

Education:

  • Associates degree or certification preferred or equivalent knowledge and experience.

The vision demands for this job require, close vision, distance vision, peripheral, depth perception and the ability to adjust focus.

Work Environment Demands:

This job requires an employee to be exposed to a typical production and office environment throughout the day.

Noise Level:

The noise level can vary from moderate to low similar to production and office environment.
