BBSI is looking for an Administrative Assistant to join the team of a values driven plumbing company in the area! we are looking for a candidate who enjoys working with customers, vendors, contractors and want to work in a collaborative environment. This position offers growth potential into other roles.
The Administrative Assistant will be responsible for office tasks, such as billing, filing, invoicing, proposal and maintaining office equipment. Using computers to research and generate reports. Locate and format information on various products and environmental impact. Maintain polite and professional communication via phone, email and mail.
Duties:
· Invoicing, Billing, clerical and administrative work
· Order job specific Certificates of Insurance and proposals
· Distribute project information to the project team
· In Spectrum: Set up new customers, set up new jobs, upload budgets etc.
· Administrative support to office and leadership team
· Prepare and complete new hire packets
· Data entry and answer phones throughout the day
· Track inspection logs, Skilled & Trained workforce, and contractor’s insurance
· Follow up with responsible parties to obtain/coordinate project information
Requirements
· H.S. Diploma or Equivalent
· 3+ years as an Admin Assistant in an office/construction or plumbing environment
· Fluent in both English and Spanish but not a must
· Some experience with QuickBooks software
· Comfortable working with a small team and family-oriented environment
· Must have good communication, teamwork, and organizational skills
· Excellent computer skills and ability to quickly learn new software applications.
· Proficient in Microsoft Office, Outlook, Word and Excel
· Typing of at least 50 wpm with emphasis on accuracy
