Bilingual Front Desk Coordinator

Job Purpose

This position is responsible for coordinating front office operations for the medical and dental clinics within the Care Center, including directing and onboarding volunteers, data collection, patient support and coordination, assisting with patient specialist referrals, interpreter services, and various other supports to keep the clinics running smoothly.

Duties and Responsibilities

Cultural and Ministerial Responsibilities

Functional Responsibilities

• Shared Responsibilities:

  2. Contribute as a member of the Care Center team, including Medical and Dental clinics, in a collaborative, team environment, and with volunteers.
  3. Work in supportive capacity with supervisor and co-workers to solve departmental problems and accomplish shared goals in pursuit of established priorities.
  4. Encourage staff and volunteers to flourish in culture and in knowledge for YUGM specific needs.
• Front Desk Responsibilities:
  1. Assist in coordinating front office volunteers, externs, and additional personnel.
  2. Assist in telephone and walk in reception in English and Spanish.
  3. Keep the office and waiting area clean and organized.
  4. Assist at morning and evening clinics as staffing needs require.
  5. Assist with health promotion, education, and awareness when needed.
  6. Open office and prep for a day of clinic.
  7. Assist with interpreting as needed.
  8. Handle cash and make change.
  9. Maintain appropriate record keeping for patient prescriptions and referrals.
  10. Check Care Center mail daily.
  11. Create new patient charts in medical, dental, and mental health electronic records.
  12. Check patients in and out before and after appointments.
  13. Assist patients in completing and updating forms when needed.
• Dental-Specific Responsibilities:
  1. Collect income and verify documents and implement appropriate discount.
  2. Schedule patients based on emergent, non-emergent, and type of procedure needed with dentist and hygienists.
  3. Ensure both dentist and hygienist maintain a full schedule of patients.
  4. Collect payment at the time of visit.
  5. Follow up phone calls to collect payment.
  6. Ensure established patients stay up-to-date on income verification.
  7. Process end of day reconciliation.
  8. Prepare monthly collection statements to maintain patient accounts.
• Medical-Specific Responsibilities:
  1. Provide information and referral for clients, update resource information as needed.
  2. Report provider messages to patients regarding referrals, medications, and lab results.
  3. Assist in the case management of patients needing to apply for financial aid to fulfill referrals or receive medications.
  4. Schedule patients according to variable providers’ availability as well as walk in needs.
  5. Assist in maintaining full schedule of patients for providers each day.
• Other Duties:
  1. Attend, as requested or required, all YUGM trainings and meetings scheduled by the management team to keep current on any policy changes, new procedures, and other information essential to performing the job.
  2. Other duties as assigned in support of YUGM’s mission and values.

Education and Experience:

• Bilingual in Spanish and English, both in verbal and in written form is required.
• Understanding and ability to apply principles and rules of confidentiality (i.e., HIPPA).
