Job Description - Bilingual Support Services Specialist - Community Programs

An overview of this position entails…This position is responsible for providing direct services to visitors and Participants who walk-in or call the Montrose FRC.  Provide administrative support to all of the Montrose Regional programs.  Administrative support includes record keeping, phone management, routine clerical tasks, and light bookkeeping duties.  Position must use judgment in prioritizing tasks and resolving issues that may arise.


ESSENTIAL DUTIES AND RESPONSIBILITIES


1. Greet and assist walk-in visitors or callers to Montrose FRC. Interact with them in accordance with FRC’s Quality Standards and Hilltop’s Employee Handbook.


2. Provide resources, referrals, and intake paperwork to walk-ins and phone calls. Distribute diapers and track diaper distribution.


3. Coordinate incoming and outgoing mail, including distribution, postage and labeling. Print monthly postage report for fiscal purposes.


4. Create and maintain calendaring systems and procedures for scheduling staff and conference room spaces. Coordinate and assist with planning for onsite and offsite meetings.


5. Assist in fundraising duties, including receiving and processing fundraising donations, entering data into reporting software, preparing and sending letters to donors, and preparing reports as needed. Track and report Enterprise Zone donations, as applicable.


6. Enter all data for Hilltop’s Montrose FRC, as required by the program.


7. Maintain client gift cards, bus passes and other vouchers.


8. Assist with FRC administrative functions, such as scheduling interviews.


9. Provide administrative office support for all FRC programs, including creating, maintaining, or sending letters templates, spreadsheets, filers, handbooks, etc.


10. Maintain office credit cards including weekly reconciliation.


11. Process incoming checks and make deposits.


12. Complete month end reporting including deposits, vehicle miles, etc..

EDUCATION & EXPERIENCE


High School Diploma and two years of related work experience.


CERTIFICATES, LICENSES & REGISTRATIONS



  • Valid Colorado Driver’s License
