Job Description - Billing Assistant

Billing Assistant

About us: At Spin, recruitment is about more than filling roles; it’s about creating real human connections. We partner with leading U.S. companies to help them hire exceptional talent through a true direct-hire process, ensuring candidates join our clients’ teams directly while we support them throughout the journey.

About our partner: You’ll join an established Los Angeles–area law firm that has represented employers exclusively for more than four decades — defending them in discrimination, wrongful termination, wage-and-hour, and class action matters, much of it in close partnership with employment practices liability insurance (EPLI) carriers.

We’re looking for a detail-oriented Billing Assistant with prior law firm billing experience to keep the firm’s monthly billing cycle, insurance billing, payment tracking, and collections on schedule. You’ll move invoices from preparation through submission and payment, working with attorneys, billing staff, insurance carriers and clients along the way.

This role is built for someone who already knows law firm billing. Prior billing experience inside a law firm, hands-on Sage Timeslips proficiency, and experience submitting legal invoices to insurance carriers are all required. This is a full-time, in-person position.

What You’ll Do

  • Monthly billing cycle. Help prepare, review, finalize, and deliver invoices on schedule. Enter and maintain attorney-approved time entries in Timeslips, run billing reports and process approved corrections.

  • Invoice accuracy. Review draft invoices for accuracy, completeness, formatting, and compliance with each client’s billing requirements, and resolve missing information or discrepancies with attorneys and billing staff.

  • Insurance and EPLI billing. Prepare and submit invoices through carrier and third-party electronic billing portals, applying UTBMS task, activity, and expense codes and preparing LEDES files where required.

  • Carrier guidelines. Review carrier billing guidelines, engagement requirements, and relevant policy provisions to identify submission requirements — and refer coverage or legal interpretation questions to the responsible attorney.

  • Submission tracking. Complete required billing forms, confirm receipt and acceptance, resolve rejected invoices and technical issues, and keep carrier, claim, matter, and submission records organized.

  • Disputes and appeals. Track carrier deductions, billing disputes, and appeal deadlines, and coordinate attorney review of responses and appeals.

  • Collections. Monitor accounts receivable and outstanding invoices, send professional payment reminders, and follow up on payment discrepancies, failed payments and unresolved balances.

  • Client communication. Answer client calls and emails about invoices, balances and payment procedures, and route substantive billing disputes to the right attorney or billing supervisor.

  • Payments. Assist clients with LawPay payments and reconcile payment information against billing records.

  • Billing department support. Keep billing records, status reports, and follow-up lists current, spot ways to improve accuracy and turnaround, and protect confidential client, financial, and firm information.

What You Bring

  • Prior law firm billing experience — this one is required. You know how a law firm bills its clients and its insurance carriers.

  • Hands-on proficiency with Sage Timeslips.

  • Insurance defense billing experience, including EPLI matters, electronic billing portals, litigation billing codes, and carrier submission requirements.

  • The ability to manage recurring monthly deadlines across multiple client and carrier requirements.

  • Strong attention to detail, organization, and follow-through — and reliable attendance.

  • Clear written and verbal communication, and a professional approach to client inquiries and collections.

  • The ability to resolve routine billing issues independently and coordinate with attorneys and billing staff on the rest.

Nice to Have

  • LawPay experience, including payment processing, transaction tracking, and reconciliation.

  • Accounts receivable, collections follow-up, and insurance billing appeals.

  • Proficiency with Excel and Outlook.

What Success Looks Like

Monthly invoices go out on time, insurance submissions are accepted and tracked, outstanding balances get consistent follow-up, and clients receive prompt, accurate answers to their billing questions.

Salary & Benefits

  • Location: Encino, California — full-time, in person.

  • Salary: $25 - $30 / hour, depending on law firm billing experience, Timeslips proficiency, and familiarity with insurance billing procedures.

  • This is a full-time, long-term position.

  • The position is immediately available.
