Job Description - Billing Call Intake Specialist

Job Title: Billing Call Intake Specialist
Reports To: Medstar Billing Manager
FLSA Status: Non-exempt
Employment Type: Full-Time (40 hours/week)
Pay Rate: Starting at $20.00/hour
Schedule: Monday – Friday, 8:30 AM – 5:00 PM, with overtime as needed
Location: 380 N Gratiot, Clinton Township, MI 48036


Position Summary:
The Billing Call Intake Specialist serves as the frontline contact for Medstar's billing and non-
emergency transportation services. This position is responsible for handling incoming calls,
verifying documentation, collecting payments, and ensuring superior customer service. The
ideal candidate will have experience in healthcare billing or dispatch, with a strong grasp of
insurance requirements, prior authorization, and ambulance transport protocols.


Essential Duties & Responsibilities:
● Respond promptly and professionally to ECIN (Electronic Communication Intake
Network) requests and incoming phone calls.
● Verify medical necessity documentation on Physician Certification Statements (PCS).
● Handle calls from stakeholders regarding prior authorizations for ambulance
transports.
● Review Long Distance Transport requests for needed billing documentation and
payments.
● Process private pay calls, including collecting credit card payments in advance of
scheduling service for ambulance and wheelchair van transportation.
● Provide accurate pricing information for services such as wheelchair, long-distance,
and private pay transports.
● Deliver exceptional customer service to patients, internal departments, and external
stakeholders.
● Assist with inquiries related to non-emergency ambulance transportation by phone, fax
and email
● Facility billing for cancer centers and other specialty hospitals.
● Assist with gatekeeping and no profit center workflows
● Collaborate effectively with dispatch, patients, billing staff, and healthcare partners.
● Perform other duties as assigned by the Billing Manager.


Qualifications:
● High school diploma or equivalent required.
● Minimum of 2 years’ experience in healthcare billing, dispatch, or a related field;
ambulance billing experience strongly preferred.
● In-depth understanding of healthcare insurance procedures, including prior
authorization and benefits coordination.
● Proficient in navigating insurance payor websites.
● Familiarity with ambulance billing documentation and medical necessity standards.
● CAC (Certified Ambulance Coder) certification preferred.
● Excellent phone etiquette with a pleasant and professional demeanor.
● Experience managing both inbound and outbound calls.
● Strong attention to detail and organizational skills.
● Effective written and verbal communication skills.
● Typing speed of at least 30 words per minute.


Work Environment:
This role operates in a professional office environment. The position routinely uses standard
office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
