Billing Coordinator

Key Responsibilities: 

• Collaborate with operations and accounting teams to ensure invoices are generated, reviewed and posted accurately and in a timely manner
• Manage back-office work order process from completion to invoice
• Oversee quote process, preparing quotes and obtaining approval from internal and external stakeholders
• Communicate invoice details to customers via email or submitting and tracking in customer portals
• Oversee field service management system; responsible for uploading new and maintaining existing equipment and addresses, setting warranty parameters, generation of preventative maintenance work orders, etc.
• Prepare weekly and monthly reports for leadership
• Other responsibilities as directed by supervisor.

Basic (Required) Qualifications:

• Strong organizational and prioritization skills
• Excellent written and verbal communication abilities
• Proficiency in Microsoft Excel and ERP systems
• Proven ability to collaborate across internal teams and with external stakeholders
• Keen attention to detail to ensure invoice accuracy and compliance

Preferred Qualifications: 

• Bachelor’s Degree in relevant field (Business, Economics, Accounting, etc.) 
• 2+ years experience in similar role (Billing, AP/AR, service coordination)
• Experience with CMMS or billing systems
• Have knowledge and experience in Microsoft Business Central
• Analytical mind with desire to continuously improve processes
