Job Title: Billing Specialist & Administrative Assistant

Job Summary:

We are seeking a detail-oriented and highly organized Billing Specialist & Administrative Assistant to manage invoicing and billing processes while providing general administrative support to ensure the smooth operation of our office. The ideal candidate will have strong analytical skills, excellent communication abilities, and a proactive attitude.

Key Responsibilities:

Billing & Finance Duties:

• Generate and issue accurate invoices to clients/customers.

• Review billing data and correct any errors before invoices are sent.

• Monitor accounts receivable and follow up on outstanding payments.

• Reconcile billing discrepancies and resolve client inquiries.

• Work closely with account managers to ensure billing processes align with accounting standards.

General Administrative Duties:

• Manage office communications, including answering phones and emails.

• Maintain and organize digital and paper files.

• Order and maintain office supplies and equipment.

• Schedule meetings, appointments, and manage calendars.

• Assist with preparing reports, presentations, and documents.

• Provide support to different departments as needed.

Qualifications:

• Proven experience in billing, finance, or administrative roles.

• Proficiency in Microsoft Office Suite and accounting software (e.g., QuickBooks, Xero, etc.).

• Strong attention to detail and organizational skills.

• Excellent written and verbal communication skills.

• Ability to multitask and prioritize in a fast-paced environment.

• High school diploma required; Associate’s or Bachelor’s degree preferred.

• Knowledge of basic accounting principles.

• Customer service experience.
