The day begins bright and early at 7:30am, with preparing the waiting room, reviewing schedules, and setting the tone for the day. Around 7:40 am, the whole team gathers for a morning huddle, where collaboration and support take place. It’s a time to connect, discuss potential roadblocks, and ensure every team member is set up for success. 

From the moment a patient walks in, we focus on delivering an outstanding experience rooted in care, dedication, and trust. We greet patients with welcoming smiles, checking them in, verifying insurance details, and answering any initial questions they may have. Through the day there is a balance of scheduling appointments, checking out patients, processing payments, confirming future visits, reviewing treatment plans, and financial options to ensure they feel informed and confident in their care. Every interaction is built on honesty and trust. The goal is to always deliver personalized exceptional care.

Responsibilities and Duties (including but not limited to):

  • Primary focus: offer exceptional care to each person engaging with our office.
  • Monitors the schedule continuously and ensures all time slots are full at all times and clinicians time use is efficient. 
  • Ensures every patient leaves the office with at least one appointment scheduled.
  • Greets and welcomes patients by name to the practice.
  • Ensure HIPAA protocols are followed.
  • Assists patients in navigating their financial, scheduling, and treatment questions.
  • Updates patient records and ensures accurate patient information and documentation of recent treatments, procedures, and payments.
  • Understands ledgers and records payments to the patient ledger with accuracy.
  • Presents treatment plans and offers the Rivertown financing options.
  • Coordinates the referral process.
  • Performs basic insurance related functions including: accurately send claims and all attachments needed,  accurately explain a basic insurance break down to a patient, and accurately break down a ledger and know where balances are coming from.
  • Performs general office duties photocopying, filing and faxing.
  • Organizes, cleans, and maintains patient waiting areas as well as front desk areas.
  • Maintains the functioning of Administrative area equipment.
  • Engages in actively learning all new and existing software
  • To ensure all essential tasks can be accomplished, any additional duty needs clearance from the Office Specialist.

Requirements

Education and Experience

  • Preferred: 
    • Proficient in dental practice management software
    • Fluent in dental terminology
  • Required:
    • Experience in learning and working with multiple software systems
    • Bilingual 
    • Ability to communicate in English and Spanish in-person, over the phone and through text and email is preferred. 
    • Expert knowledge of general administrative practices. 
    • Caring at the core, trustworthy, and dedicated to your profession
  • Physical Requirements:
    • Prolonged periods sitting at a desk and working on a computer.
