Manage the flow of artist contracts from receipt/generation to full execution
Act as Artist Contracts Administrator with agents, artists and talent buyer and lead communications with the above-mentioned parties regarding contract statuses
Send fully reviewed contracts back to agents/artists and respond to all artist contract emails and inquiries in a timely fashion
Send partially executed contracts to designated company authorized signatories for countersignature
Oversee event timelines to ensure contracts are returned by required deadlines
Manage the artist contracts tracker (ACT) to ensure it is current to the day
Act as primary artist contract first reviewer and conduct second reviews as assigned
Work with IT staff to update the ACT as needed
Upload received contracts, FECs, deposit info, W9s (including settlement W9s) and other required payment information into the Artist Contracts Tracker (ACT)
Issue artist standard contracts and follow up on execution of all standard artist contracts
Resend contracts via e-signature platform that have not been fully executed
Reach out to Talent Buyers for missing contracts and payment information for artists on a weekly basis
Prepare deposit requests and send to accounts payable copying the applicable Talent Buyer for approval and copying Business Affairs Lead and Talent Buying Director
Request and upload settlement payment information into the ACT
Perform daily maintenance on the ACT to make sure it is fully updated with the most current statuses for all applicable columns
Request and review certificates of insurance (COIs) and send to Business Affairs Lead for final approval before filing in the appropriate database
All other duties and responsibilities assigned within the scope of the Business Affairs Specialist role
QUALIFICATIONS AND EXPERIENCE
Bachelor’s degree (or equivalent experience)
Minimum 3 years of experience in the live music or live entertainment industry preferred
Must have a high attention to detail
Must have good verbal and written communications skills
Strong analytical skills and problem-solving abilities
Excellent organization skills and ability to multitask
Ability to work under pressure and adapt to changes in a fast-paced environment
Computer proficiency (Email, Word, Google, DocuSign and Excel skills)
