Job Description - Business Coordinator

Description

 Elite Quartz LLC is seeking a bilingual (Mandarin/English) Business Coordinator to join our team in Latta, South Carolina. This is a full-time, on-site, long-term position that plays a critical role in supporting our Chinese-speaking employees, many of whom are relocating from overseas and do not speak English. You will be responsible for managing their travel, visa documentation, and helping with day-to-day life in the U.S., including interpretation and communication support. 

 

Key Responsibilities:

Travel & Relocation Support

  • Arrange international and domestic flights, including ticketing, scheduling, and seating preferences
  • Book hotel accommodations and local transportation (Uber, Lyft, car services)
  • Prepare and send travel itineraries, confirmations, and reminders
  • Ensure smooth arrival and check-in process upon employee arrival in the U.S.

Visa & Immigration Documentation

  • Assist with preparing and submitting visa applications, renewals, and extensions
  • Track visa statuses and provide timely reminders to ensure compliance
  • Work with HR and legal advisors on visa processing and document collection
  • Translate and help prepare necessary supporting documents as needed

Daily Life & Settling-In Support

  • Accompany or guide employees to set up U.S. essentials such as:
    • Bank accounts
    • Mobile phone plans
    • Social Security applications
    • Medical or dental appointments
  • Provide day-to-day assistance navigating local life (e.g., shopping, appointments, housing needs)
  • Be on-call to resolve urgent or unexpected issues as they arise

Language Interpretation & Translation

  • Provide in-person or virtual Mandarin-English interpretation during appointments or interactions
  • Translate documents and instructions for employees who cannot read English
  • Facilitate clear communication between employees and English-speaking staff or vendors
  • Help create a welcoming, culturally sensitive environment

Scheduling & Communication

  • Coordinate with overseas staff and service providers in China or other time zones
  • Maintain clear and consistent communication with international employees regarding tasks and needs
  • Regularly update internal HR and management on employee status, travel plans, and support activities

Requirements

 

Requirements:

  • Fluency in Mandarin Chinese and English (both spoken and written)
  • Minimum 2 years of relevant experience in administrative support, employee relocation, international coordination, or hospitality
  • Familiarity with U.S. immigration and visa procedures
  • Strong organizational, interpersonal, and time management skills
  • Empathy, cultural awareness, and discretion when working with personal matters
  • Must be willing and able to work a flexible schedule as needed
  • Proficient in Microsoft Office, Google Workspace, and travel booking platforms
  • Must be available to work on-site in Latta, South Carolina

Preferred Qualifications:

  • Experience supporting Chinese employees or non-English speakers
  • Background in HR, global mobility, or immigration coordination
  • Knowledge of Chinese culture and business customs
  • Prior experience in a concierge-style or employee experience support role
