A leading Financial Marketing Organization is searching for a Recruiting Coordinator to help manage calendars and coordinate events for the in-house recruiting department. Great atmosphere, competitive compensation, and growth opportunities!

JOB RESPONSIBILITIES AND REQUIREMENTS:

Scheduling & Coordination

  • Managing calendars and coordinating availability for internal meetings and meetings with advisors.
  • Organizing Zoom vs. phone meetings with appropriate setups.
  • Sending meeting reminders, confirmations, and follow-ups.
  • Aligning schedules with key stakeholders to minimize conflicts.
  • Coordinating internal meetings related to recruiting efforts.
  • Tracking and adjusting schedules to accommodate last-minute changes or cancellations.

Candidate Experience & Communication

  • Sending concise meeting recaps and outlining next steps.
  • Collaborating with recruiters and business development to maintain engagement with advisors.
  • Providing clear and timely responses to inquiries from internal teams and advisors.
  • Ensuring advisors receive all necessary documentation, such as meeting agendas and relevant materials.
  • Assisting in the onboarding process by coordinating initial meetings and introductions.
  • Maintaining a professional but personable communication style that reflects company culture.

Event Planning & Travel Coordination

  • Organizing recruiting events, webinars, and in-person office visits.
  • Managing travel and accommodations for visiting advisors.
  • Handling related expense tracking and reimbursements.
  • Coordinating catering and logistics for onsite meetings and events.
  • Assisting with the setup and execution of recruiting-focused networking events.
  • Tracking attendance and gathering feedback from recruiting events to improve future efforts.

Tech & Process Management

  • Maintaining advisor records and tracking progress in HubSpot.
  • Utilizing Microsoft Office (Outlook, Excel, Word, PowerPoint) and ChatGPT for scheduling and communications.
  • Supporting the implementation of streamlined recruiting processes and tools.
  • Ensuring proper documentation and filing of recruiting-related communications.
  • Tracking and reporting key recruiting metrics, such as meeting completion rates and advisor engagement levels.
  • Helping refine and automate scheduling workflows to improve efficiency.
  • Ensuring confidentiality and compliance with data privacy regulations in advisor management.

Requirements

  • Organizational Skills – Ability to manage multiple priorities, track details, and keep schedules running smoothly.
  • Calendar & Scheduling Expertise – Proficiency in coordinating complex meeting  schedules across multiple stakeholders
  • Communication Skills – Strong written and verbal skills to clearly convey meeting  recaps, updates, and next steps.
  • Tech-Savviness – Comfortable using Microsoft Office (Outlook, Excel, Word, PowerPoint), HubSpot, and ChatGPT.
  • Problem-Solving Abilities – Quick thinking to handle last-minute scheduling changes,  cancellations, or conflicts
  • Attention to Detail – Ensuring all meeting logistics, materials, and communications  are accurate and professional.
  • Interpersonal Skills – Ability to collaborate with multiple departments and build strong working relationships.
  • Event Coordination Experience – Handling logistics for recruiting-related  events, meetings, and travel.
  • Confidentiality & Discretion – Managing sensitive advisor and company information with professionalism.
  • Time  Management – Prioritizing tasks effectively to meet deadlines in a fast-paced environment.
