The Department of OB/GYN has an outstanding opportunity for a Business Manager to join their team.
About this Opportunity
Reporting to Vice Chair Finance and Administration, the Business Manager is responsible for the administrative infrastructure and financial stewardship of the Reproductive Endocrinology and Infertility (REI) Division including budget management, administrative program operations, regulatory and compliance coordination, and strategic planning. This position exercises independent leadership authority across a complex, multi-site program with institutional visibility. This is a hybrid position with an on-site requirement of at least 3 days per week.
Key Responsibilities
Financial Management (40%)
Exercise independent authority in managing and monitoring clinical budget; track expenditures across fund sources and ensure funds are used appropriately
Independently prepare regular financial reports for division and department leadership; identify and resolve discrepancies
Develop annual budget proposals in collaboration with the Division Chief and department administration; provide financial analyses to support decisions about programs, staffing, and expenditures
Manage procurement and purchasing for the division in collaboration with university and department finance staff, including vendor relationships, contracts, and expense reconciliation
Oversee financial administration related to sponsored research and grants in coordination with department and university research administration and other finance staff
Manage financial processes specific to the REI clinical and laboratory program, including any program-specific billing, vendor, or cost-tracking workflows
Manage relationships with fertility specialty insurance programs
Division Administration and Operations (30%):
Exercise independent authority in managing day-to-day administrative operations of the REI Division
Serve as primary administrative liaison between the REI Division and Department leadership, School of Medicine Dean's Office, and other central UW operational units
Develop and implement division-specific administrative policies, procedures, and workflows; assess and continuously improve operational effectiveness
Coordinate division leadership meetings, retreats, and strategic planning activities; prepare agendas, materials, and follow-up documentation
Manage space and facilities needs for the division in collaboration with other Department administrative roles
Strategic Planning and Special Projects (20%):
Exercise independent judgment in supporting development of long-range strategic and business plans for the REI Division in conjunction with Division Chief and Department leadership
Prepare financial analyses, business cases, and program proposals for new service lines and program expansions
Lead special projects as assigned by Division or Department leadership, including operational assessments, process improvement initiatives, and cross-departmental collaboration projects
Represent the REI Division on departmental and institutional committees as appropriate
Regulatory Compliance and Accreditation Management (10%)
Determine and independently manage administrative components of regulatory reporting and accreditation requirements applicable to the REI program; manage submission timelines and documentation in collaboration with clinical and laboratory leadership
Develop and maintain administrative systems for regulatory compliance, including documentation, records management, and coordination of inspection or renewal processes
Serve as administrative point of contact for institutional compliance and research regulatory requirements related to division activities
Support clinical and laboratory leadership in meeting applicable program-specific reporting obligations
Required Qualifications

Minimum Qualifications
Bachelor's degree in Business Administration, Accounting, or Finance. Equivalent combination of education and experience may be considered.
Four to five years of experience in healthcare administration, academic medical center administration, or a closely related field, with demonstrated success in financial management and budget oversight.
Preferred Qualifications
Master of Business Administration or Healthcare Administration or similar degree
Experience in an academic medical center, academic department, or specialty clinical setting preferred
Demonstrated experience in healthcare budget management, financial reporting, and fiscal oversight
Experience with sponsored research or grant administration a plus
Proficiency with UW financial systems (Workday, MyFD) or comparable systems; ability to learn new systems
Strong analytical skills; ability to interpret financial data and present it clearly to varied audiences
Excellent interpersonal and communication skills; ability to work effectively with faculty, clinical staff, and administrative partners
High degree of discretion; ability to handle sensitive financial, personnel, and patient-related information appropriately
Strong organizational and project management skills; able to manage multiple priorities independently in a deadline-driven environment
Working Conditions
Externally imposed deadlines: The position regularly manages externally imposed deadlines outside the incumbent's control.
Requirements to be available outside regular business hours: The incumbent must occasionally be available outside regular business hours when urgent operational matters arise.
Requirements for working an irregular work week: The position requires periodic schedule adjustments to accommodate early morning or evening meetings with clinical faculty whose schedules are determined by patient care responsibilities. The incumbent must accommodate this by adjusting their work schedule accordingly to ensure presence at important meetings according to business need.
Physical requirements: This position requires walking between physical locations, at times with light equipment
