Beacon Education is seeking a Business Office Manager to provide financial, human resources management to Beacon Education, GLOW Academy and Spark Academy. Through this work, the Business Office Manager also supports the leadership and administrative teams at GLOW Academy and Spark Academy. The role manages functions across finance, human resources, and general operations. The ideal candidate is service-oriented, dependable, resourceful, and able to manage multiple priorities while maintaining a high level of accuracy and confidentiality.
This role is primarily based on-site at Beacon Education’s office, located on the campus of GLOW Academy (4100 Sunglow Drive, Wilmington, North Carolina). At times, this role will visit and work at Spark Academy.
Major Responsibilities
Finance & Administrative Support
The Business Office Manager coordinates closely with a local accounting services provider to document, code and record approved financial transactions for all three entities, including:
Prepare weekly accounts payable documentation for Beacon Education, GLOW Academy, and Spark Academy
Manage monthly credit card reconciliations and supporting documentation
Manage sales tax reimbursement claims and related recordkeeping
Review financial statements and supporting documentation from the accounting services provider and assist the Executive Director with presentations to the finance committees and board members of the three entities
Monitor cash flow, accounts receivables, and accounts payables to ensure the timely financial processing and budget management
Manage and maintain accounts payable and accounts receivable on a monthly basis
Support outside accounting firm to reconcile bank and investment accounts monthly
Coordinate requisition of school funds with outside financial management and accounting service for Beacon Education, GLOW and Spark
Manage deposits, payment services and bank accounts for all entities
Assist the accounting services provider with pre-audit preparation for external audits, and address any audit findings
Manage timesheets for non-salaried staff and submit payroll to accounting firm on a monthly/semi-monthly basis for all staff across the organization
Support and oversee tuition, vouchers, and enrollment income at Spark Academy
Work with the accounting firm and senior leadership in budget creation for all 3 entities
Support school-level staff in accurate and fiscally responsible budget management
Liaise with vendors and coordinate billing for external services
Human Resources & Onboarding
Prepare offer letters and onboarding documentation for new hires.
Coordinate employee onboarding through BambooHR and other required systems.
Communicate onboarding requirements and deadlines to new employees.
Support employment verification, background check, and new hire reporting processes.
Provide benefits enrollment information to eligible employees.
Maintain employee files and HR records in accordance with organizational requirements.
Assist with employee lifecycle administration, including personnel record maintenance.
Systems & Operations
Manage and maintain access to various organizational systems and platforms.
Support website updates and other operational communications as needed
Serve as a resource for staff seeking assistance with administrative processes and systems
Support Admissions and Outreach efforts
Qualifications
Bachelor's degree in Finance, Accounting, Business Administration, or related field required
Previous administrative, HR, operations, or office management experience preferred
Previous experience in a K-12, early childhood education setting or non profit preferred
Familiarity with NC charter school accounting preferred
Strong organizational skills with the ability to prioritize multiple tasks and deadlines
Excellent written and verbal communication skills
Proficiency with Microsoft Office and Google Workspace
Experience with HRIS, payroll, or accounting systems required
Ability to handle sensitive and confidential information with discretion
Successful completion of a required background check is a condition of employment
Possession of a valid TB test issued by the local county board of health or recognized medical authority is required for employment
