Business Services Support Coordinator

The Foundation for Advanced Education in the Sciences, Inc. (FAES), is an entrepreneurial non-profit organization, located at the National Institutes of Health (NIH) in Bethesda, Maryland, which conducts programs and activities to promote the productivity and attractiveness of professional life on the NIH campuses. FAES programs complement the work of NIH in accomplishing its mission of research and training in the biomedical sciences and FAES seeks to continue to create and sustain cutting-edge programming in all operational areas.

Essential Duties and Responsibilities (other duties may be assigned):

Properties:

  • Perform key daily, weekly, monthly, yearly, and ad-hoc administrative and onsite tasks to ensure efficient workflow and to maintain condition of properties.
  • Ensure established standards are met regarding proper recording of transactions, invoice processing, expense reconciliation, housing applications, and legal documents.
  • Assist the Program Manager with research, planning, and development of real estate endeavors.
  • Organize departmental meetings and craft meeting agendas to ensure the efficiency of the program's directives.
  • Maintain the departments calendar by scheduling onsite repairs, services, and other maintenance activities.
  • Assist the Property Program Supervisor in organizing and overseeing software applications of the FAES Housing program, such as Buildium and Monday.com (serves as applications specialist/webmaster.)
  • Alert the Property Program Manager promptly and fully of all problems or unusual matters of significance and take prompt corrective action according to manager's direction.
  • Ensure the highest levels of professional services are provided to all FAES Housing Occupants and other FAES patrons.
  • Perform key daily, weekly, monthly, yearly, and ad-hoc administrative tasks to ensure efficient workflow and to maintain condition of the retail stores.
  • Assist the Retail Coordinators with the preparation of incoming merchandise for display and sale, using established visual merchandising standards and techniques.
  • Partners with Program Manager with scheduling and coordinating coverage for on-site appointments, including when team members are out.

Retail:

  • Partners with Program Manager on coordinating retail store coverage, including when team members are out.
  • When necessary, performs daily register transactions, including opening and closing procedures. Ensures an efficient and accurate customer register experience by communicating to customers policies regarding payments, coupon acceptance and other discounts, returns and exchanges, and other security and loss prevention procedures.

Qualifications:

  • High school degree is required. Minimum Associate degree is preferred.
  • Able to work within teams and create partnerships.
  • Demonstrates outstanding customer-service skills.
  • Excellent attention to the small details.
  • Excellent logistical and organizational skills.
  • Able to manage multiple tasks at once and prioritize them.
  • Outstanding communicator with strong interpersonal, written, and verbal skills, including proficiency in the English language.
  • Able to quickly learn computer technology and applications.
  • Proficiency in MS Office Word, Excel, and Outlook or similar applications preferred. Proficiency in Counterpoint and Buildium is preferred.
  • Must have reliable transportation and applicable insurance as this position requires the candidate to report to various locations in Bethesda.
  • Must be willing to work evenings and weekends, as needed.
  • Must be able to pass an NIH background check to be employed at FAES.
  • Must be authorized to work in the US for any employer.

Typical Work Schedule:

Typical work schedule is 8:00am to 4:30pm. This is primarily an on-site and in person role. The Operations Support Coordinator will report to the FAES administrative office located in the NIH Bethesda Campus. The Operations Support Coordinator will also have to report to various FAES locations in the area, as needed. Telework may be permitted upon approval of the Program Manager and is not guaranteed.
