Job Description - Business Systems & Automation Specialist


The Business Systems & Automation Specialist is responsible for driving operational efficiency and continuous improvement initiatives across Wilson Company. This role proactively evaluates business processes, identifies opportunities for improvement, and implements technology, automation, and workflow solutions that will enhance productivity, accuracy, scalability, and the overall customer experience.

This role will work closely with sales, operations, warehouse, customer service, finance, quality, and leadership teams, serving as a catalyst for process improvement across the organization. The Business Systems & Automation Specialist will leverage data, business systems, and automation tools to eliminate inefficiencies, standardize workflows, improve visibility, and support Wilson Company’s continued growth.

Duties/Responsibilities:

Continuous Improvement & Process Optimization

  • Evaluate existing business processes and identify opportunities to improve efficiency, accuracy, customer experience, and scalability.
  • Identify opportunities to leverage AI to improve efficiency, customer experience, and profitability.
  • Evaluate emerging AI technologies and recommend solutions aligned with business objectives.
  • Design and implement automated processes across the Customer Service, Sales, Procurement, Inventory Management, Accounting, Human Resources and Marketing Departments.
  • Measure and report productivity improvements and ROI. 
  • Lead AI integration efforts between ERP systems, CRM Platforms, E-Commerce Platforms, Vendor Portals, Business Intelligence Tools and Customer Communication Systems.
  • Improve data flow and eliminate manual data entry. 
  • Evaluate emerging automation, AI, and process improvement technologies for potential business applications.
  • Analyze workflows across departments and develop solutions to eliminate bottlenecks, reduce waste, and improve operational effectiveness.
  • Partner with department leaders to standardize processes and establish best practices.
  • Document current and future processes, maintaining process documentation as needed.
  • Promote a culture of continuous improvement throughout the organization.

Automation & Workflow Development

  • Design, implement, and maintain workflow automations that reduce manual effort and improve productivity.
  • Identify opportunities to use AI technology and automation to improve processes and how information moves through the business.
  • Support rollout and adoption of automation tools and workflows across teams and departments.

Reporting & Business Analytics

  • Develop AI-powered dashboards and reporting tools to improve visibility into Sales Performance, Inventory trends, customer behavior and operational KPIs.
  • Create automated reporting solutions that reduce manual reporting efforts and improve access to data
  • Partner with leadership to identify and define key metrics that support better decision-making and accountability.
  • Analyze operational data to identify trends, inefficiencies, and opportunities for improvement.
  • Help maintain accurate and consistent data across business systems and reporting tools.

Business Systems Enablement

  • Leverage existing business systems to support process improvements and operational objectives.
  • Assist with the implementation, enhancement, and adoption of business systems that improve organizational effectiveness.
  • Collaborate with stakeholders to identify system capabilities that can improve workflows and performance.
  • Support integration of technology solutions into daily operations to maximize efficiency and user adoption.
  • Act as the company’s AI subject matter expert.

Industrial Distribution Operations Support

  • Support process and workflow improvements across inventory, purchasing, warehouse, sales, customer service, and quality.
  • Partner with teams to improve workflows across ParkerStore, Hose Doctor, cylinder repair, hose assembly, and other distribution operations
  • Develop practical solutions that improve inventory visibility, order processing, customer response times, and overall execution
  • Work closely with branch and department leaders to identify issues and implement solutions that improve day-to-day operations

General Responsibilities

  • Build strong working relationships across all departments to identify and support improvement opportunities.
  • Train employees on AI tools and automation platforms.
  • Develop AI usage guidelines and training programs.
  • Support organizational goals through continuous improvement and operational excellence initiatives.
  • Stay current on industry trends, business technology, automation tools, and best practices.
  • Perform other duties as assigned

Requirements

 Required Skills/Abilities:

  • Strong analytical, organizational, and problem-solving skills.
  • Demonstrated ability to evaluate business processes and identify opportunities for improvement.
  • Strong understanding of continuous improvement, workflow optimization, and operational efficiency principles.
  • Ability to lead projects and drive initiatives from concept through implementation.
  • Experience developing automations, workflows, dashboards, or reporting solutions.
  • Ability to translate business needs into practical and scalable solutions.
  • Strong attention to detail with a commitment to data accuracy and process consistency.
  • Excellent verbal and written communication skills.
  • Ability to build relationships and collaborate effectively across all levels of the organization.
  • Ability to manage multiple projects and priorities simultaneously.
  • Self-motivated with a proactive approach to identifying and solving business challenges.
  • Advanced proficiency with Microsoft Office, particularly Excel.
  • Experience with reporting, workflow automation, business intelligence, or low-code/no-code platforms preferred.
  • Experience utilizing AI tools to improve productivity and automate business processes is required.

Education and Experience: 

  • Associate’s or Bachelor’s degree in Business, Operations, Supply Chain, Industrial Distribution, Information Systems, Engineering, or a related field preferred.
  • Minimum of 2 years of experience in continuous improvement, process optimization, workflow automation, operational analytics, business systems, or a related function.
  • Experience leading or supporting process improvement initiatives with measurable results preferred· Experience with ERP systems required; TrulinX or SQL server experience is a plus.
  • Experience with workflow management platforms, reporting tools, CRM systems, or quality management systems preferred.
  • Experience with platforms such as QT9, Microsoft Power Platform, Power BI, Power Automate, Microsoft Copilot, Chat GPT, API Integrations, CRM Systems, Workflow Automation tools, Tableau, or similar tools is a plus.
  • Industrial distribution, fluid power, manufacturing, warehouse operations, or supply chain experience is strongly preferred
  • Valid driver’s license and acceptable motor vehicle record required.

Physical Requirements:

  • Ability to sit and work at a computer for extended periods of time.
  • Ability to occasionally walk through warehouse, branch, and shop environments to observe processes and support operational initiatives.
  • Ability to occasionally lift and move materials or equipment up to 25 pounds.
  • Ability to travel between company locations as needed.
  • Ability to work in office, warehouse, and industrial environments, including varying temperatures and conditions.

Salary Range: $75,000 – $95,000

**Employment is contingent upon successful completion of a background check, drug screening, and acceptable motor vehicle record, as well as possession of a valid driver’s license prior to start date.
