Position Overview:
The Buying Operations Coordinator will play a key role in supporting the Head of Production, ensuring the seamless execution of purchase orders, inventory management, and production timelines. Acting as a liaison between internal teams and domestic/international vendors, you’ll help keep our operations running smoothly and ensure that every product meets our high-quality standards.
This is a full-time position in our Philadelphia office.
Key Responsibilities:
Purchase Order Management: Write, manage, and track all POs, ensuring accuracy in pricing, delivery dates, and quantities. Communicate updates to internal and external teams as changes arise.
Vendor and Logistics Coordination: Communicate with manufacturers and suppliers to track production timelines, troubleshoot issues, and ensure timely delivery. Collaborate with logistics teams to manage air and ocean deliveries.
Inventory and Data Management: Maintain accurate product data in Shopify and inventory planning systems, including specifications, pricing, and inventory levels. Set up and update SKUs, product listings, and buy data.
Production and Quality Support: Issue SMS POs according to the production calendar and review TOPs with the Design Coordinator. Provide timely feedback to vendors to maintain quality standards.
Team Collaboration: Partner with internal teams to ensure smooth operations and maintain detailed production schedules. Work closely with the 3PL warehouse, providing regular updates on deliveries and product launches.
Requirements
Qualifications:
Experience: 2+ years in production and operations (preferably in fashion or home) with familiarity in production cycles, quality control, and fabric/material specifications.
Skills:
Proficiency in Google Sheets, and Shopify (or ability to learn inventory planning tools) preferred.
Strong organizational and multitasking abilities.
Excellent communication and problem-solving skills with a sense of urgency.
Attributes: Attention to detail, team-oriented mindset, and adaptability in a fast-paced environment.
