Job Description - CAM Administrative Assistant

Description

Job Summary:

The CAM Administrative Assistant plays a vital support role in the daily operations of multiple community associations. This position ensures effective communication between Boards of Directors, CAM Managers, vendors, staff, and residents. The assistant is responsible for administrative duties such as processing work orders, managing documentation, updating databases, and facilitating problem resolution within the communities. The role requires a customer-focused, organized, and proactive individual capable of balancing multiple tasks in a dynamic property management environment.

Supervisory Responsibilities: None

Duties/Responsibilities:

  • Manage day-to-day community association operations across multiple properties.
  • Organize and maintain communication between associations, CAM Managers, staff, tenants, vendors, and contractors via phone, email, and other formats.
  • Update databases, mailing lists, and essential association documents in a timely manner.
  • Maintain and track vendor records, including licenses and insurance; foster positive vendor relationships.
  • Process work orders, mailings, print jobs, and other tasks to support CAM Managers and associations.
  • Receive and route vendor invoices and payments to the accounting department.
  • Serve as the first point of contact for tenant inquiries when CAM Managers are unavailable.
  • Regularly coordinate with Boards of Directors, attorneys, maintenance staff, and security personnel.
  • Facilitate resolutions for community-related issues involving homeowners, board members, and staff.
  • Assist in ensuring property maintenance and beautification projects are completed per requests.
  • Work closely with the CAM Accounting team to maintain project timelines and financial accuracy.
  • Prepare for and participate in association meetings as needed.
  • Follow directions from supervisors and Board members accurately and efficiently.
  • Manage time effectively to meet deadlines and handle multiple responsibilities.

Requirements

Skills/Abilities:

  • Strong customer service, communication, and interpersonal skills.
  • Ability to work independently and take initiative as a self-starter.
  • Basic computer proficiency (email, typing, spreadsheets).
  • Strong organizational and multitasking skills.
  • CAM experience preferred; property management experience a plus.
  • Ability to function well in a high-paced and at times stressful environment.

Education and Experience:

High school diploma or equivalent required; college degree preferred.

1 year of experience in property management or community association management preferred.

Proficient in Microsoft Office Suite and G-Suite software.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
