Position Summary


As a Patient Scheduler, you will serve as one of the primary points of contact for our patients.


This position is ideal for someone who enjoys interacting with people, solving problems, staying organized, and keeping multiple priorities moving simultaneously. Every day is different, and your ability to communicate effectively, remain calm under pressure, and provide exceptional customer service will directly impact our patients' experience.

Primary Responsibilities


· Schedule, reschedule, and confirm patient appointments using our electronic scheduling system


· Coordinate patient appointments, diagnostic testing, procedures, and follow-up visits


· Answer high-volume incoming phone calls professionally and courteously


· Provide patients with appointment instructions, testing preparations, and follow-up information


· Serve as a liaison between patients, physicians, physician assistants, hospitals, imaging centers, and referring providers


· Respond promptly to phone messages, emails, electronic health record (EHR) messages, physician requests, and other communications


· Verify patient demographics and insurance information while maintaining strict confidentiality


· Obtain outside medical records, referrals, and authorizations as needed


· Ensure insurance authorizations are completed accurately before patient visits and procedures


· Collaborate closely with physicians, advanced practice providers, and fellow team members to ensure seamless patient care


· Assist with cross-coverage responsibilities during vacations or staffing needs


· Maintain accurate documentation within the electronic health record


· Deliver exceptional customer service during every patient interaction

Qualifications Preferred


· Previous medical office experience


· Appointment scheduling experience


· Customer service experience


· Familiarity with electronic health records (EHR)


· Experience obtaining insurance authorizations or referrals


· Knowledge of medical terminology


Bonus Qualifications


· Bilingual in Spanish and/or Farsi


· Cardiology or specialty practice experience


· Experience with high-volume scheduling
